Description We are in search of an Office Services Associate to join our team located in Austin, Texas. The role involves executing daily back office services, including but not limited to reprographics copy and mail services in both physical and digital environments. This role offers a short term contract employment opportunity.Responsibilities: Manage and process customer applications with accuracy and efficiency. Maintain and update customer credit records. Resolve customer inquiries in a timely and professional manner. Monitor customer accounts and execute appropriate action when necessary. Utilize appropriate logs for all office services work. Ensure that job tickets are properly filled out before beginning work. Perform work in office services primarily reprographics mail and intake functions according to established procedures. Communicate effectively with the supervisor or client on job or deadline issues. Troubleshoot basic equipment problems and place service calls when needed. Prioritize workflow and perform Quality Assurance on own and work of others. Load machines with various paper toner supplies and manage digital reprographics. Interact with clients in person, over the phone, or electronically while maintaining a professional demeanor. Adhere to all company policies in addition to client site policies. Use equipment and supplies in a cost-efficient manner. Handle sensitive and/or confidential documents and information with discretion. Requirements Proficiency in customer service is essential, with a focus on serving and satisfying client needs. Familiarity with office functions, operations, and procedures will be crucial for this role. Ability to answer inbound calls promptly and professionally. Experience in supervising team members or projects is desirable. Knowledge and understanding of hiring processes is a plus. Proficient in scanning documents and maintaining logs related to office operations. Experience with receptionist duties, such as welcoming guests and handling queries. Ability to troubleshoot issues related to office machinery and operations. Understanding of facility management and upkeep. Strong digital skills, including proficiency in office software and tools. Excellent communication skills, both written and verbal, are required. Familiarity with quality assurance practices and procedures. Ability to handle and distribute faxes in a timely and organized manner. Willingness to work overtime when necessary to meet deadlines or handle special projects. Experience handling service calls and resolving customer issues. Ability to manage and protect confidential documents in adherence to company policies. Experience with office perks and benefits administration is a plus.
