Company Description
A small fleet-sized rapidly growing transportation company, based out of the Dallas-Fort Worth Area is looking for an administrative assistant, due to increased client growth and expectations. The selected candidate would have to wear many hats to fill the role.
Job Description/Responsibilities
Will perform various accounting tasks related to bookkeeping, post Fuel card charges in Excel or QuickBooks. Assign part purchases and maintenance expenses to truck/trailer units.
Accurately Prepare and submit invoices/schedules to financial factoring company. Accurately and timely record all drivers trips including rates and additional accessories
Frequently Monitors drivers daily electronic logs to ensure DOT compliance ensue (watches for errors or violations on working hours)
Keeps track of equipment availability.
Keeps track of drivers request for time off to ensure proper routing by balancing business needs and driver needs
keep track and document all Rate sheets and Bill of Ladens for invoicing
Fills out carrier packet sheets and request certificate of Insurance for Brokers
Additional duties as assigned by Operations Director may include
Assist the Operations Director to successfully complete critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other Clerical duties as assigned, such as filing, photocopying, and data entry.
Works closely and effectively with the Operations Director to keep him well informed of upcoming commitments and responsibilities, following up appropriately.
Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
May require minor errands to the parts dealership
Keeps Track on dates for Registration renewals and other fillings such as IFTA
Skills required
Excellent understanding of personal computers, Microsoft office suites especially Excel. Highly organized and able to Multitask/Navigate multiple screens simultaneously
Strong organizational and communication skills (Verbal and written). Ability to hold multiple conversations simultaneously via phone/email. Will be working in a heavy phone-based customer interaction environment.
Ability to keep track and follow up on emails/conversations Attention to detail and good Analytical thinker: Being able to decipher when there is a missing piece of information.
Good Interpersonal skills: You'll be working with drivers, customers, and vendors. Understanding when to be courteous and when to firm.
Proven ability to handle confidential information with discretion.
Qualifications
Minimum High school degree required Would accept a foreign Bachelors degree.
Other Requirements
Full time position with office in Fort Wort, TX. 76119. He/she must be able to show up at 6.30am daily. (Load market opens up at 8am EST, 7AM CST)
Also can be on call 24/7 to handle minor tasks from home (phone/emails)
