Job Summary:
We are seeking a proactive and organized Office Administrator/Admin Assistant to provide comprehensive administrative support to our team. The ideal candidate will be detail-oriented, possess strong communication skills, and be adept at managing multiple tasks efficiently in a fast-paced environment.
Key Responsibilities:
Administrative Support:
Assist with day-to-day office operations, including managing phone calls, emails, and correspondence.
Maintain filing systems, both physical and electronic, ensuring all documents are organized and easily accessible.
Prepare and distribute reports, presentations, and documentation as needed.
Scheduling and Coordination:
Schedule and coordinate meetings, appointments, and travel arrangements for staff.
Prepare meeting agendas and take minutes to document discussions and action items.
Financial Entry and Record Keeping:
Assist with invoicing, expense tracking, and basic bookkeeping tasks.
Maintain records of office supplies and inventory, placing orders as needed.
Customer and Team Support:
Serve as point of contact for clients and visitors, providing exceptional customer service.
Support team members with various administrative tasks and projects to enhance overall productivity.
Office Management:
Ensure the office environment is well-organized, safe, and welcoming.
Assist in implementing office policies and procedures to improve efficiency.
Qualifications:
High school diploma or equivalent; additional qualifications in Office Administration or related field preferred.
Proven experience as an Office Administrator, Administrative Assistant, or similar role.
Proficient in MS Office Suite and office management software (e.g., Google Workspace, CRM tools).
Strong organizational skills, with the ability to prioritize tasks and manage time effectively.
