Job Title: Front Desk Receptionist

Job Summary:
Allied Powder Coating is looking for a friendly and organized Front Desk Receptionist to be our company's first point of contact. You will greet visitors, handle phone calls, and provide administrative support to ensure smooth operations.
Key Responsibilities:
Greetings and Welcoming:
Warmly greet and welcome visitors as they arrive at the office.
Direct visitors to the appropriate person or department.
Ensure the reception area is tidy and presentable, with all necessary materials (e.g., brochures, forms) readily available.
Customer Service:
Answer, screen, and forward incoming phone calls.
Provide accurate information in-person and via phone/email to customers and potential clients.
Address customer inquiries and concerns promptly and professionally.
Clerical/Office Support:
Transcribe information from the Customer Relationship Management (CRM) system to QuickBooks.
Perform general clerical duties, including photocopying, mailing, and filing.
Assist with other administrative tasks and office support as needed.
Retail Customer Updates:
Update retail customers on the status of their orders.
Handle customer follow-ups and ensure timely communication.
Convert Retail Orders to Invoicing:
Accurately convert retail orders into invoices.
Ensure all invoices are properly documented and recorded in the system.
Uploading Work Orders:
Upload work orders to the appropriate systems or software.
Ensure all work orders are complete and accurately reflect customer requests.
Process Payments:
Handle customer payments, including cash, checks, and credit card transactions.
Ensure all payments are processed accurately and efficiently.
Maintain accurate records of transactions and receipts.
Qualifications:
High school diploma or equivalent; additional qualifications in Office Administration are a plus.
Proven work experience as a Receptionist, Front Office Representative, or similar role.
Proficiency in Microsoft Office Suite.
Experience with QuickBooks and CRM systems is highly desirable.
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Customer service attitude with a friendly and professional demeanor.
Compensation:
$15- Per Hour 40- hours per week
