Accounting Specialist

Description We are currently seeking a highly dedicated and detail-oriented Accounting Specialist on a contract to hire basis, to handle project invoices, waivers and vendor management tasks. The successful candidate will be responsible for handling multiple financial activities within our organization and ensuring accurate, efficient and compliant operations.Responsibilities:

Manage project invoicing; prepare, verify, and process invoices and coding payment documents.

Maintain and monitor project-related records, including contracts and change orders.

Ensure all invoices received from vendors are accurate and correspond with Purchase Orders and/or Contract Bills.

Manage waivers; request, follow up and maintain a record of all signed lien waivers from vendors.

Administer Accounts Payable functions which include matching invoices to purchase orders, coding to the correct GL accounts, and inputting invoices into the accounting system.

Implement and manage organized filing systems for invoices, waivers and other financial documents.

Carry out vendor management activities such as setting up new vendors in the system, maintain vendor files, and liaise with vendors regarding billing and payment inquiries.

Take charge of verification and reconciliation of transactions and ensure resolution of any discrepancies.

Ensure compliance with internal controls, policies and procedures.

Assist with month-end close processes and year-end audits when necessary.

Perform other duties as assigned by management to assist in the department operation.

Requirements

Must have a minimum of 5 years of experience in an Accounting Specialist role or similar. Proficiency in Microsoft Excel, particularly in the use of pivot tables. Demonstrated experience in accounting functions, including Accounts Payable (AP) and billing functions. Experience in check processing is essential. Familiarity with construction accounting is a significant advantage. Knowledge of vendor management best practices. Proven ability to handle sensitive and confidential information with discretion. Strong analytical and problem-solving abilities. Excellent communication and interpersonal skills. Must possess a high level of organizational skills and attention to detail.
