Description Our Client is seeking an Executive Assistant to support C-level leaders, this role will encompass a broad range of responsibilities, including managing travel arrangements, coordinating events, as well as processing data and creating reports. This role offers an exciting opportunity to work in a dynamic setting, requiring excellent communication skills and a strong understanding of urgency.Responsibilities: Support the leadership team, including the CEO and CFO, in their daily operations Utilize Excel at an intermediate to advanced level, including the use of pivot tables Coordinate and manage corporate events and travel arrangements Generate detailed reports from QuickBooks, and Excel for the leadership team Perform data entry tasks and invoice processing Maintain CRM administration duties Display a high level of proficiency in Word Tackle problem-solving tasks in a fast-paced environment Understand the importance of urgency in the execution of responsibilities.Requirements Minimum of 7 years of experience in an Executive Assistant role or similar. Proficiency in Accounts Payable (AP) procedures and practices. Experience in invoice processing, ensuring accuracy and timeliness. Strong proficiency with Microsoft Excel for data management and reporting. Knowledge of QuickBooks Familiarity with Salesforce a plus! Experience in arranging travel, including logistics, itineraries, and expense reporting. Proven track record in planning and executing corporate events. The Executive Assistant will provide general administrative support to the SVP, Human Resources, Human Resources senior management and other staff, as requested. Responsibilities include, but are not limited to: + Generate, maintain and distribute routine reports as directed. + Assist in the preparation, prooing, editing and distribution of corporate communications. + Assist in the preparation of prooing and editing of documents, presentations, and other departmental correspondence. + Monitor executive’s calendar and commitments. + Maintain phone messages, facilitate conference calls, disseminate general information, and provide assistance to callers and employees with questions. + Coordinate meetings and ensure conference rooms are prepared in advance of meetings. + Manage the offsite storage of departmental files. + Prepare expense reports as requested. + Submit invoices for payment. + Coordinate travel arrangements as needed. + Prepare and submit transactions to the Company’s HR system (Oracle) + Serve as primary administrative support for HR department + Provide back up for reception desk on an as-needed basis. + Special projects as assigned.
