Learn more .JOB SUMMARY: Assist the Houston and Dallas divisions with various payroll, human resources, facilities administrative support duties. The role is based out of the Houston Division Office.ESSENTIAL DUTIES AND RESPONSIBILITIES:Payroll/Benefits

Collects all employee payroll related information to administer the payroll processes for the Houston and Dallas Divisions twice per month

Reviews information and ensures all approvals are obtained. Submits payroll paperwork to Corporate Payroll for processing

Monitors eTime entries in connection with payroll processes

Works directly with employees and managers in regard to e-time entries, edits, or corrections

Processes all Requests for Time-Off (RTOs) and monitors hours for non-exempt employees

Point of contact for resolving payroll issues/corrections

Processes cash awards/prizes and bonuses - assists with maintaining the division's bonus plans

Submits Personnel Change Notices (PCNs) for personnel changes and completes new hire, termination, and promotion paperwork.

Submits SOM and vendor requests for new hires, terminations, and LOAs as needed.

Audits payroll registers and resolves issues timely. Distributes paychecks

Assists HR Director and Corporate Benefits with administering and tracking leaves of absence

Assists HR Director and Corporate Risk Management team with administering and tracking Workers Compensation Claims and/or any work-related injuries

Recruiting/Hiring/Talent Management

Works with HR Director to manage the performance review & talent management process

Ensures managers are completing the annual reviews

Compiles, evaluates and submits headcount requests to HR Director, and prepares headcount analysis report

Coordinates and manages pre-employment assessment process at division level

Drives the interview process through recruiter which includes collecting resumes, setting-up interviews as needed, monitoring progress and completion of background and reference checks to ensure timely hire dates

Generates offer letters and executes new hire coordination with Manpower

Conducts new hire orientations

Creates and keeps Organization Charts updated

Coordinates Temp Labor to assist management team

Monitors SABA employee training and ensures timely completion

Facilities and Administration

Responsible for office supply orders, space planning and office moves

Reviews and approves building or Division related invoices and check requests

Other administrative duties as needed to support Division President

Employee Relations

Informs HR Director of employee issues/concerns and may (in some situations) conduct initial employee interviews. Forwards all Ethics Policy related concerns to HR Director

Executes the off-boarding process with employees including company property retrieval process, providing final checks, and conducting initial exit interviews

Responds to general inquiries from employees regarding benefits, payroll or HR policies

Updates/posts Regulatory/Labor posters within assigned division(s) and field offices

Plans and organizes division meetings, quarterly events, annual holiday party, and birthdays/anniversaries

EDUCATION/EXPERIENCE/MINIMUM REQUIREMENTS:

Education/Certifications/Licenses

Bachelor's degree in Human Resources or another related field preferred

Experience

4+ years' experience or equivalent combination of education, training, and experience in Office Management role with fundamental Human Resources responsibilities

Knowledge, Skills & Abilities

Foundational knowledge of HR and Payroll related laws and guidelines

Proven ability in handling confidential and sensitive employee matters

Strong verbal and written communication, with the ability to take complex concepts and communicate succinctly and accurately

Exceptional interpersonal skills within all levels of the organization - ability to build relationships, establish trust, and maintain neutrality

Strong ability to work within a team-setting, inclusive of other's ideas, motivates others

Excellent organizational and project management skills

Minimum of intermediate level proficiency in Microsoft applications, including Word, Excel, PowerPoint and Outlook

Work Requirements

Work onsite at the Houston Division Office at least 4 days per week

Occasional travel required

Work 8-hour days with flexibility for overtime when necessary

Conduct business in a professional and ethical manner to potential buyers, trade partners, and coworkers to reinforce goodwill and the protection of the Company's brand
