JOB SPECIFIC COMPETENCIES

Management of Credentials, DTM and Licensure

Partner with Clinical Programs Program Manager to prepare, review and disseminated Drug Therapy Management (DTM) packets (annual, initial, updates) for the division pharmacist. Scan and submit completed packets to the Credentials Committee of Medical Staff (CCMS) for review of pharmacist privileges.

Management of Postgraduate DOP Residency Program

Coordinates recruitment efforts including to but not limited to: identifies, updates and maintains materials for each program, updates and maintains Pharmacy Residency website page, coordinates shipping, receipt and set up of interview materials for national meeting, attends

national meeting to manage appointment desk, check in candidates, and maintains candidate photos, interviews, and communication. Prepares materials, schedule rooms, prepares itineraries, and coordinates the onsite interview schedule and process for the all residency programs. Works directly with the Education and Training Office to ensure appointment, orientation, and onboarding of new residents. Manages the institutional trainee's management system and communicates directly with selected trainees' requirements and deadlines for appointment.

Provides Division of Pharmacy overview and onboarding for new MDACC trainees including office setup, keys and access requests, computer access, and required training.

Supports the 6 residency program directors to maintain documentation and files pertaining to the administration of the residency programs.

Manages residency SharePoint site and maintains rotation schedules, announcements, resident pictures and demographics, learning experience descriptions, and oncology forum schedule.

Coordinates residency events (e.g., orientation, graduation, project presentations, research project workshops, room scheduling, program announcements, room decorations, securing certificates, photos, catering, and creating and distributing event programs).

Prepares all travel and reimbursement for residents and program directors. Monitors and reconciles reports for resident program expenses and reports as required.

Provides administrative and technical support to residents and program directors.

Makes agenda, attends, and takes minutes for residency programs directors meeting, and resident selection meetings.

Assists in preparation of required documents for American Society of Health- System Pharmacist (ASHP) and National matching service.

Submits and maintains records and documents.

Maintains resident's office, submits requests for cleaning or repairs.

Management of Undergraduate Student Training Programs

Coordinates pharmacy student rotations at MD Anderson from affiliated Colleges of Pharmacy.

Works directly with the Trainee Office to ensure appointment, orientation, and onboarding of new students.Manages the institutional trainee system to process students and external trainees, communicates directly with trainees regarding requirements and deadlines for appointment. Follows up on missing items routinely with the students to insure on time appointment.Provides Division of Pharmacy overview and onboarding for new pharmacy students including access requests, computer access, and required training.Serves as a resource for all pharmacy student trainees, submits tickets for computer issues.Coordinates check out procedure and evaluation, including return of scrubs and equipment. Notifies appropriate areas to cancel access upon exit.Communicates directly with College of Pharmacy's on student rotation availability, changes to rotation schedules, and coordinates rotations.Maintains student rotation lists, assigned preceptors and preceptor certificates.Coordinates on site student educational programs (shared student instruction, journal club). Communicates with students and preceptors of schedules, requirements, and location. Maintains documentation of attendance, materials and procedures.Administrative and Financial Management of Training ProgramsPrepares and submits information for invoices for student rotations. Follows up to make sure invoices are paid.Responsible for sending names of the new residents/students to be added to the grand round's communication to the education coordinator in Pharmacy.
