An injury law firm in the Houston area is seeking a legal receptionist to run their reception department. The ideal candidate will possess experience with the following skills:
- Welcoming clients and visitors upon arrival at reception.
- Answering, screening, and forwarding phone calls in a professional manner.
- Assisting clients and visitors with the location of legal staff.
- Scheduling and confirming appointments.
- Observing business etiquette and maintaining a professional appearance.
- Directing the flow of mail, faxes, and deliveries to reach the intended recipients.
- Ordering and replenishing office supplies.
- Managing the maintenance and repair of office equipment.
- Assisting with copying, scanning, faxing, emailing, note-taking, and travel bookings.
- Preparing meeting facilities, and arranging refreshments, if required.
- Assist with new hire setup (receive computer equipment, set up new hire desks with basic supplies prior to first day)
- Maintain quarterly expense report in MS Excel for travel and entertainment to ensure yearly budget is maintained.
- Excellent time management skills
- Transmit information or documents using computer, mail, scan/email, or fax.
- Managing of all inbound and outbound deliveries via Reception
- Report business expenses
- Help facilitate projects from concept to creation.
- Work hand-in-hand with CHRO/HR Generalist and clients, internal staff for support services
- Creative mind- Creating monthly HR events calendar's - holiday's, national events, diversity-based recognition
This job requires candidates to possess:
- High school diploma or GED.
- Formal qualification in office administration, secretarial work, or related training.
- Qualification in paralegal studies or similar preferred.
- Spanish bilingual required
- Prior experience as a legal receptionist will be advantageous.
- Familiarity with legal terms, legal documents, and filing.
- Excellent written and verbal communication skills.
- Extensive experience working with word processing, spreadsheets, printers, copiers, scanners, faxes, and appointment scheduling and call forwarding systems.
- Exceptional interpersonal and communication skills.
- Able to communicate with all levels of authority and staff.
