Job Description

You are the heart of the office and under the direction of the EVP you will manage internal and external stakeholders; drive progress, manage processes and operations and make sure timelines and service levels are world class. Below is non comprehensive sample of the tasks to be expected.

  • Manage the Front Desk and the kitchenette operations to ensure everything runs smoothly e.g., mailing, organize meetings, answer phone inquiries, greeting guests, organize equipment in coordination with the EVP etc.
  • Maintain office services by organizing office operations and procedures; controlling correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions
  • Handle confidential information such as invoice management
  • Manage relationships with vendors, service providers, and landlords/ agencies
  • Support the EVP with day-to-day business, operationally and with ad-hoc tasks
  • Organize and schedule the EVP`s agenda, handle travel arrangements on international scope (visa, permits etc.), accommodation, client meetings and expenses
  • Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records
  • Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement
  • Designs and implements office policies by establishing standards and procedures
  • If interested, involvement in future recruiting process and other HR related topics

Qualifications

  • Relevant experiencein a comparable role (7+ years), ideally for a start-up or similar organization
  • Diligent, structured and intelligent personality withproactive approachin anticipating the needs of management
  • Flexibility, excellent interpersonal abilities and project coordination experience
  • Positive attitude, with a willingness to provide the highest level of service as well as discretion and personal sensitivity in all aspects of the role
  • Self-directed and able to work without supervision, excellenttime management skillsand ability tomulti-task and prioritize work
  • Excellent written and verbal communication skills inEnglish
  • Ability to maintain acalm, professional andpleasant demeanour under stressor tough deadlines
  • Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness
  • High level of proficiency in allMS Office products
  • Knowledge of accounting / budgeting procedures is a big plus
