JOB SUMMARYUnder general supervision, accountable and accountable for all functions relating to the approval process for credentialing and re-credentialing and the clinical privileging of the medical staff and delineation of services for the allied health professionals and others as appropriate. Responsible for the accuracy and integrity of the credentialing and clinical privileging database system. Functions as a Medical Staff Coordinator within the Hospital, and manager of the Medical Staff Services team when the Manager/Director is not present. Provides information and guidance about medical staff bylaws, medical staff rules and regulations, allied health professionals (AHP) policies, Joint Commission for Accreditation of Healthcare Organizations (JCAHO) and Center for Medicare and Medicaid Services (CMS) and other regulatory agencies as they pertain to medical staff and allied health professionals.ESSENTIAL FUNCTIONS OF THE ROLE

Coordinates with the CVS the credentialing, re-credentialing and clinical privileging process of new applications and reappointment applications to the medical staff and allied health professionals in compliance with the medical staff bylaws, medical staff policies and procedures, AHP policies, JCAHO, CMS standards and other regulatory agencies.

Processes confidential medical staff and allied health professional files requests for, but not limited to: New applications, Reappointment applications, Temporary applications, Extra privileges, Staff category changes, and Resignations/ Retirement

Maintains data integrity of the credentialing and clinical privileging software system.

According to established policies and procedures, responsible for the integrity of data.

Ensures that results of medical staff quality management findings are provided to appropriate review committees/departments and maintained in a confidential file.

Acts as a liaison between the medical staff, allied health professionals, nursing services, administration and the CVS.

Performs other duties as required. Job duties are subject to changes as directed by management.

Manage department in absence of Manager/Director.

Demonstrates working knowledge of the Medical Staff Bylaws, Rules and Regulations, and Policies and Procedures, JCAHO Credentialing requirements and the ability to work directly with members of the Medical Staff.

Works with Chiefs, Medical Directors/Advisors and Committee Chairmen in preparing agendas, attends and maintains all Medical Staff meeting minutes.

Notification and follow-up to responsible people for required reports/data for all Medical Staff meetings.

Prepares dietary requests and reserves rooms in a timely manner for all Medical Staff meetings.

Receives, greets, and directs applicants, staff physicians, and other visitors to the department.

Sorts and reviews incoming mail and answers telephone, screens and routes calls.

Orders and maintains office supplies and handles check requests.

Records complaints about medical staff and allied health professionals and notify appropriate medical staff managers and administration of complaints.

Directs gathering of information, verifications of licensure etc. and inputting data in applicable hospital system for all referring (not on staff) physicians.

Prepares a calendar and dietary requests for the monthly Medical Staff meetings for the year. Calendar to be completed before the last month of the year.

Processes requests for mailing labels, rosters and reports according to the procedure established.

Helps with maintaining and implementing physician orientation

Helps with setting up and attending the CME programs, initiating flyers and reminders, and facilitating all necessary paperwork.

Responsible for creating or assisting with the ER Call Schedules and distributing them in a timely manner.

KEY SUCCESS FACTORS

Requires Medical Staff Services certification: Certified Professional Medical Services Management (CPMSM) or Certified Provider Credentialing Specialist (CPCS) or education plan to obtain in twenty-four (24) months from date of hire.

Associate's degree or equivalent preferred but not required.

Requires 1 -3 three years of experience in health care credentialing/ verification.

Knowledge of Health Line System (Medical Staff Line and/or Echo) or other credentialing system preferred.

Knowledge of basic anatomy and physiology, medical terminology and functions of medical staff services.

Advanced computer skills in word processing, spread sheets and databases.

EDUCATION - Associate's or 2 years of work experience above the minimum qualification

EXPERIENCE - 1 Year of Experience

CERTIFICATION/LICENSE/REGISTRATION -Cert Medical Staff Coord (CMSC), Cert Provider Credentling Spec (CPCS), Cert Prof Medical Services Mgr (CPMSM): Must obtain one of the following within 24 months of hire:

Certified Medical Staff Coord (CMCS) or Certified Provider Credentialing Spec (CPCS) or Certified Prof Medical Services Manager (CPMSM).
