Job Description

Intake Coordinators serve as the central point of contact for families and clinicians. Intake coordinators performs a wide range of duties including assessment of callers inquiries, professional coordination, providing community relations, and maintaining effective interpersonal communication in a professional, friendly, and efficient manner.

Essential Duties Include The Following:

Assist families and providers with all levels of inquiries, problem solving, insurance information and general customer services, which includes, but is not limited to:

INTAKE COORDINATION

Appropriately responds to and triages calls received in the Intake Department.

Maintains clear and effective communication with caller, establishes a positive rapport, makes accurate assessment of callers inquiry. Refers clients to other services and facilities as necessary.

Refers clients to other services and facilities as necessary.

Screens callers for eligibility to determine criteria for appropriate services while coordinating with Insurance Department to verify eligibility for new clients.

Oversees collection and maintenance of new patient intake documentation in accordance with BCI policy and HIPAA requirements.

Reconciles and maintains referrals/wait lists.

Enters all requests for services in electronic record keeping system.

Prepares Family packets for new clients.

Provides some financial counseling for medically necessary services for potential client families.

STAFFING COORDINATION

Participates in weekly Care Coordination Departmental meeting to report on new client intake for staffing coordination and scheduling team.

Communicates all case assignments and schedules to members of client's treatment team. Provides access to client records in electronic record keeping system.

Provides weekly updates to CEO of Clinical Operations regarding all new client referrals, clients awaiting case assignment, and client concerns.

Maintains careful documentation of all regular contact with families, as well as coordination activities within client database.

Qualifications

Exceptional customer service skills and experience.

Must have strong analytical, problem solving, and organizational skills.

Outstanding interpersonal skills needed to frequently interact with families, providers, and insurance representatives to address a variety of concerns and requests.

General Knowledge of Microsoft Office Suite.

General Knowledge of clinical documentation, preferably electronic health records/medical records systems.

Bilingual Spanish and English highly preferred.

Complete Mandatory Training Requirements.

Attend workshops, trainings, and in-services as assigned. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Education and/or Experience:

A Bachelor of Social Work, Psychology, Counseling, Child Development, or related Human Services is preferable.

2 years of customer service experience preferred.
