Experience in an administrative support role in an office setting.

Strong written and verbal communication skills.

Familiarity with computer software and productivity tools such as Microsoft Office Suite, Adobe Acrobat, and general office equipment.

High school diploma or equivalent required.

Preferred Qualifications

Experience in a supervisory role.

Comfortable navigating and executing tasks in SAP .

Experience using the Handshake platform.

Knowledge of Texas State University policies and procedures.

Ability to work with large data sets in Excel using advanced spreadsheet skills.

Skilled in critical thinking, problem-solving, and decision-making.

Ability to prioritize workload, manage multiple priorities efficiently, and meet deadlines.

Strong aptitude for thriving in a fast-paced work environment.

Ability to work both independently and collaboratively, contributing effectively as a supportive team member while taking initiative when needed.

Job DescriptionThe Operations Assistant oversees the operations and systems managed through the department’s main reception area/welcome desk and provides supervisory oversight of the operations for the department’s drop-in career advising service and career cafe area.Job Duties

Serve as the initial point of contact for clients, visitors, and employees, addressing inquiries, resolving issues, and providing exceptional service in person, over the phone, and via email, ensuring smooth communication and efficient workflows.

Demonstrate strong administrative skills in managing daily department operations, including scheduling appointments, coordinating meetings, and maintaining office supplies.

Provide clerical support such as data entry, filing, document preparation, and managing office correspondence.

Utilize office software (e.g., Microsoft Office Suite, Adobe, Handshake) to manage documents, create reports, and maintain records, improving overall office efficiency.

Supervise a team of seven student employees, providing leadership, guidance, and support to ensure high performance and achievement of departmental goals.

Post positions for student employees, conduct interviews, and recommend candidates for hire.

Oversee daily operations, delegated tasks, and managed workflow to ensure timely and efficient completion of projects.

Conduct regular team meetings to review performance, address concerns, and implement strategies for continuous improvement.

Train, mentor, and develop new student staff, providing ongoing coaching and feedback to promote skill development.

Monitor student staff performance using key metrics, deliver constructive feedback and conduct performance evaluations to support individual growth and team success.

Ensure adherence to university policies, procedures, and safety protocols, maintaining a productive and compliant workplace.

Prioritize tasks, troubleshoot issues, and ensure the smooth operation of daily department activities, while maintaining a positive, productive, and collaborative work environment.

Other duties as assigned.
