Personal/House Assistant to Private Family (PT)

We are seeking a part-time Personal Household Assistant (PHA) to support two busy, private Principals with their various personal and household-related tasks while in residence at their 10,000 sq ft, multi-floor Deer Valley home. This part-time position will provide support to an active and very hands-on Principal who is recovering from a recent injury. As requested, the PHA will provide personal and household support, including miscellaneous household tasks, par list management, preparing for guests, tidying the home, assisting with physical therapy and Principal movements/comfort, doing laundry, facilitating food deliveries, and providing excellent communication with all vendors and office staff. The candidate would liaise with a long-time handyman/driver who has assisted the family for many years.

This hybrid role comprises personal assistant, household, and occasional stand-alone project management responsibilities. The general schedule is part-time, Monday through Thursday, with weekend and evening flexibility if needed. The client will communicate directly or through their Chief of Staff via text, phone, or email with the expectation that requests will be acknowledged and responded to with an estimate of when the tasks will be completed. Of paramount importance is the personality "fit." The client seeks a proactive, friendly, sharp, self-starter, emotionally intelligent communicator who is excellent at running with tasks and solving problems. The candidate should continually assess how they can best assist the Principal but remain sensitive to not being overbearing as the Principal is not accustomed to having close-in personal assistance. Ideally, the Principal will enjoy these services enough that this role might continue to provide services after recovery. Candidates should be pet-friendly, dedicated, observant, committed, completely reliable, and possess a can-do attitude, with no task being too great or too small.

Requirements:

EDUCATION & EXPERIENCE

- A bachelor's degree and/or at least two-plus years of relevant experience or an equivalent combination of education and experience. Experience scheduling and overseeing vendors, including housekeepers.

- Demonstrated experience in maintaining a private employer's confidentiality, safety, security, and privacy.

- Tech-savvy: complete comfort with all standard Mac computers and internet skills, including email; apps; calendaring programs; Microsoft Office suite (Word & Excel); Google Suite, messaging tools; various online portals for scheduling, bill payment, medical records, etc.; quick learner of new apps.

- Highly professional with excellent written and verbal communication and strong clerical skills.

- Superbly organized and experienced in setting up physical and virtual organizational systems.

- Must have dependable transportation & be able to work in Deer Valley, UT.

Responsibilities:

- Household & Personal Services

- Concierge Services & Personal Support - Provide personal assistance and concierge services to the Principal, her family, and guests.

- Errand Running – Seamlessly perform deliveries, food, shopping, clothing returns, jewelry repairs, etc.

- Culinary Support, Grocery Provisioning – Communicate frequently the family preferences, establish shopping lists, and coordinate grocery shopping and delivery, ordering, and private chef coordination.

- Household Supplies Inventory & Par Controls – Maintain supplies of household inventories (i.e., cleaning supplies, paper goods, household-related items, etc., in coordination with property vendors).

- Personal Supplies & Toiletry Ordering and Inventory – Manage standing/rotating supplies.

- Housekeeping Coordination – Coordinate all cleaning at the property pre- and post-travel or Principals and guests, and provide general tidying.

- Wardrobe – Handle seasonal rotation, dry cleaning, and tailoring. Help coordinate purchases, returns, and repair requests as directed. Provide packing and unpacking services.

- Pet Care Services – Coordinate regular vet appointments, medications, grooming, dog walkers, trainers, etc.

- Medical & Dental Scheduling & Coordination – Schedule and track appointments, and providers assist with physical therapy as requested.

- Prescription & Medical Supplies – Handle filling prescriptions and maintain supplies of vitamins. Keep records of how many refills are left and contact the provider before needing Rx renewals.

- Owner Preference Coordination & Documentation – Compile all general standards in coordination with remote property vendors or office assistants.

- Personal Services Provider Vetting & Scheduling – As requested, coordinate services on the Principal’s behalf (i.e., physical therapy, personal trainers, stylists, personal services).

- Sporting Goods Maintenance, Shopping, Stocking, & Inventory – Ensure snow skiing, vacation supplies, and all sporting equipment are maintained in anticipation of family & guest activities.

- Special Projects – As requested, research and handle special projects (e.g., storage unit content organization, inventory, and sales; move management, packing, closet organization, etc.).

Personal Assistant Support:

- Make restaurant, sporting, theater, and special event reservations.

- Organize occasional events (i.e., invitations, RSVPs, catering, floral, décor, entertainment, rentals, etc.)

- Provide extended family support and schedule coordination.

- Institute weekly/monthly reporting protocols to keep the client fully apprised of property & project status.

Schedule: Part-time, 3-5 month contract with the potential to convert to permanent, 15 hours/week guaranteed. Monday - Thursday with occasional weekend availability as needed

Compensation: $35-40/hr, mileage reimbursement

Location: Deer Valley, UT (hybrid)
