The ideal candidate is a proactive and strategic thinker, adept at managing complex projects, streamlining operations, managing CRM databases, and navigating cross-functional collaboration within a dynamic and evolving environment. This role is also responsible for participant communications, onboarding, and engagement.ResponsibilitiesStrategic Project Management

Develop project plans, timelines, budgets, and deliverables, and track progress to ensure timely and successful project execution.

Create and distribute meeting agendas and notes, including tracking decisions, action items, questions, and blockers.

Collaborate with internal stakeholders to define project scope, goals, and success metrics.

Anticipate potential project risks and work with the team to identify mitigation tactics to keep projects on track.

Database Management

Maintain comprehensive, organized records of all prospects and members communications and proceedings.

Manage and maintain the database for tracking prospects and members, ensuring data accuracy and completeness.

Generate regular management reports and insights to inform decision-making.

Identify and implement improvements to database processes and reporting.

Communications & Engagement

Own communications and inquiries for prospects and members, coordinating with the appropriate team members as needed and ensuring timely, comprehensive, and professional responses.

Partner with internal teams and external partners to ensure alignment and consistency in messaging.

Develop and maintain onboarding materials and resources.

Drive the onboarding process for new members, ensuring a seamless and efficient experience.

Provide support and guidance to new members throughout the onboarding journey.

Operations

Maintain the website, ensuring content is current, accurate, and aligned with branding guidelines, working with technology to address any issues.

Establish and refine operational processes to enhance the efficiency and effectiveness of the team.

Identify opportunities for process improvements and implement solutions that drive productivity and innovation.

Develop and maintain operational dashboards, reports, and analytics to inform decision-making.

Support the planning, execution, and evaluation of events and experiences that support the team’s strategic initiatives and objectives.

Education & Experience RequirementsEducation:

Bachelor’s degree in communications, operations, business administration or a related field; or relevant experience and training in lieu of a degree.

Experience:

At least five (5) years of experience in a similar role, preferably in project management, operations, communications, membership engagement or a related field.

Experience successfully managing large-scale projects and driving operational efficiencies.

Experience with customer relationship management (CRM) systems. Salesforce experience is preferred.

Experience in project management and planning tools and software (e.g., Monday.com, Microsoft Project).

Experience in managing external vendors and partners preferred.

Knowledge, Skills & Abilities

Strong organizational and project management skills with the ability to handle multiple tasks simultaneously.

Ability to work independently and as part of a team in a fast-paced environment.

Strong attention to detail and problem-solving abilities.

Strong analytical skills with the ability to leverage data to inform decision-making and improve processes.

Ability to think strategically and execute tactically, balancing big-picture thinking with hands-on execution.

Excellent communication and interpersonal skills, with the ability to build relationships and influence stakeholders at all levels.

Proficiency in Microsoft Office Suite and reporting tools.

Proficiency in customer relationship management (CRM systems).

Proficiency in website content management and content management systems (CMS) preferred.

Familiarity with analytics tools such as Tableau and Google Analytics preferred.

Physical RequirementsThis position operates in a typical office environment and requires the ability to perform essential job functions with or without reasonable accommodation. Physical requirements may include:

Work EnvironmentHybrid Position (3 Days In-Office, 2 Days Remote):

This position follows a hybrid work schedule, requiring in-office presence [three days per week] and remote work [two days per week]. Core work hours will be designated by the department. The office environment includes a standard workstation setup with collaborative spaces, while remote work requires a reliable high-speed internet connection and a suitable home workspace. Employees must maintain availability during standard business hours and adhere to company policies for both in-office and remote work.

Travel: 20 – 30%#LI-HybridThe hiring range for this position is $78,000 to $95,000 per year. This range is an estimate, and the actual salary may vary based on the candidate's experience, skills, and qualifications. SHRM offers a competitive and comprehensive total rewards package.
