Senior Executive Assistant Job Description Summary:
The Senior Executive Assistant supports the Cybersecurity and Infrastructure Security Agency (CISA) Front Office. CISA is the Nation’s risk advisor, working with partners to defend against today’s threats and collaborating to build more secure and resilient infrastructure for the future. The Senior Executive Assistant will provide administrative and executive correspondence management support for the CISA Front Office. This role directly supports CISA’s top leaders to reduce risks to our cyber and physical infrastructure. They will assist with calendar management and coordination with both internal and external stakeholders, managing executive correspondence processes and editing, formatting, and coordinating content for written materials for CISA program offices and senior leaders in compliance with DHS and CISA policies and procedural requirements. They will work closely with and communicate routinely with CISA Front Office team members, leaders, subject matter experts, and stakeholders.
Roles & Responsibilities:
Calendar coordination and management to include receiving visitors, arranging conference calls, and schedule meetings.
Manage senior leader travel using Concur to book all transportation and hotels in addition to completing conference packages, speaker forms, and all necessary documentation.
Responsible for managing the day-to-day operations of CISA’s senior leaders, ensuring efficiency and effectiveness in all administrative tasks.
Conducting research, preparing statistical reports, handling information requests, and preparing correspondence.
Provide internal guidance and coordination regarding administrative functions, management controls, metrics development, standard operating procedures, and general administrative compliance.
Ensuring compliance with current administrative policies and task requirements, executive secretariat guidelines, formats, and procedures; drafts responses to written request; corrects and completes clearance documentation; and utilizes acceptable style, tone, and timeliness.
Initiating drafts and/or editing responses to letters, memos, briefing memorandum, and other executive correspondence products using template language and standard formatting styles.
Requirements:
A BS/BA degree in a relevant field.
Minimum of 5 years’ experience with at least 3 years in demonstrated experience performing similar duties as listed above.
5 years working with MS 365 tools required, particularly Outlook, Excel and MS Teams.
5 years managing calendars, appointment settings, arranging large meetings and conference calls.
5 years reviewing and editing documents.
5 years managing email correspondence.
5 years working within strict policies and procedures.
