Accounts Payable AdministratorJob DescriptionWe are seeking a detail-oriented Accounts Payable Administrator to join our growing team. You will be responsible for verifying expense reports, reconciling financial reports, facilitating vendor payments, and maintaining accurate accounting records. This role involves sorting a high volume of invoices and ensuring all financial obligations are met promptly.Responsibilities
Receive and verify expense reports, reconciling them with account balances and other office records.
Sort and process 150+ invoices daily using Medias (internal ERP).
Facilitate vendor payments, verify federal ID numbers, review purchase orders, and resolve discrepancies.
Ensure outstanding obligations are credited upon payment, identify discount opportunities, and issue purchase order amendments or stop-payment orders as needed.
Assist with maintaining accounting records and ledgers by reconciling monthly statements and transactions.
Record entry of, verify documentation for, and distribute petty cash.
Calculate and report sales tax based on paid invoices.
Essential Skills
1-2 years of experience sorting and maintaining AP inboxes.
Experience sorting 100+ invoices daily (400-500 weekly).
Basic proficiency in Excel, including navigating spreadsheets.
Ability to correctly sort AP documentation.
Strong multi-tasking skills, problem-solving abilities, and the capacity to work in a fast-paced environment.
Ability to work independently and navigate systems efficiently.
Bachelor's degree.
Experience in the manufacturing industry.
Additional Skills & Qualifications
High volume AP experience.
Consistent career progression preferred.
Work EnvironmentThe work hours are from 8 AM to 5 PM. Occasionally, you may be required to work late or come in early. Weekend work is voluntary but may be incentivized with breakfast, lunch, gift cards, and extra pay during month-end or backlog periods. You will report to the Accounts Payable Manager and collaborate with six other AP Specialists.
