The firm’s work can be found across the globe, with projects as wide-ranging as huts to high rises, homes—often for art collectors—to academic, cultural and civic projects, museums and exhibition design, places of worship, creative production, urban design, and interior design.Currently, we are seeking a Office & Facilities Assistanttohelp maintain the efficiency of our office and contribute to the overall excellence of work coming from Olson Kundig.Position DescriptionThe Office & Facilities Assistant is responsible for a range of administrative and operational duties that support the daily functioning of the firm within a 6-story building with 350+ Seattle-based employees. Typical tasks include resolving and responding to office-related requests or issues and general maintenance of the office common areas.Primary Responsibilities:​​​​

Office (60%):

Prepare new hire workstations by ensuring cleanliness and setup for first day

Coordinate catering services for meetings, office meals, snacks, and beverages, ensuring timely delivery and accuracy of orders

Manage full-cycle document storage/retrieval, includes maintaining tracker and executing request(s).

Arrange for and drive an office car or rental truck, as required.

Perform basic service on printers and plotters (i.e. change toners and load paper)

Coordinate maintenance for office equipment, appliances, and office car

Shared responsibility among Office Assistants:

Maintain all common spaces in the office, including supply rooms and multiple meeting rooms, ensuring they are clean and clear of clutter.

Maintain five office kitchens, including light cleaning and dishes on a regular schedule

Monitor kitchen and office supply inventory levels and reorder as needed

Provide support for office events and celebrations, including arranging decorations, coordinating events, and managing food service. Occasional reception desk coverage, responsible for greeting visitors, managing incoming calls, and maintaining a professional and welcoming reception area.

Facilities (40%):

Responsible for day-to-day duties, installing equipment, answering requests, perform minor maintenance tasks

Use power tools and hand tools, as needed, for assembly and installation of office equipment such as keyboard trays, shelving, etc.

​​​​ Liaison with building engineers for office facilities issues related to building maintenance, janitorial, etc.

Coordinate ad-hoc, weekly, monthly, and semiannual company events in collaboration with internal and external stakeholders

Act as a member of the office Safety Committee as a floor warden, identifying and resolving safety issues to create a safe and prepared work environment, protecting the well-being of employees and visitors, and minimizing the impact of emergencies on business operations.

Education/Skills/Experience:

Minimum 2 years of related office experience

Valid driver’s license and have a good driving record

Strong organizational skills and attention to detail

Adaptable self-starter who can prioritize and complete multiple projects and tasks with little guidance in a creative and dynamic environment

Ability to effectively manage time and competing demands

Strong interpersonal skills, including the ability to effectively communicate with all levels of internal and external vendors and clients

Basic knowledge of and experience of using power and hand tools.

Ability to lift and carry objects weighing 50 lbs as needed for tasks such as moving boxes, office equipment, or supplies.

Final salary decisions are made based upon the extent and relatedness of the candidate’s education and experience and considering internal equity and external market factors.
