Event Coordinator (On-Call)

We are seeking a highly organized, creative, and detail-oriented Event Coordinator to plan and execute exceptional events that engage our audiences and support organizational goals. The ideal candidate thrives in a fast-paced environment, excels at multitasking, and enjoys collaborating with cross-functional teams and external partners. Duties include but are not limited to: organizing event details, location, dates, time, invitees, etc. Candidate would also organize and assist in logistics on the day of the event.

As a small business, we host a couple events per year. However, we anticipate more as the organization grows. Most events are small to accommodate 10-20 attendees with others likely being in larger range (50-100 attendees).

Duties:

Duties will include, but not limited to:

Assist in planning, coordinating, and executing a wide range of events, including workshops, meetings, trade shows, social events, and virtual experiences.

Manage event timelines, production schedules, and on-site execution to ensure each event runs smoothly.

Coordinate event registration, ticketing, attendee communications, and post-event surveys.

Support all stages of event logistics, including venue research, vendor sourcing, contract coordination, catering, audio-visual, signage, décor, and transportation.

Manage event budgets; track expenses, invoices, and financial reports.

Collaborate with marketing team and leadership to support event promotion, email campaigns, and social media efforts.

Serve as a primary point of contact for vendors, venues, sponsors, and internal stakeholders.

Troubleshoot any issues in real time and provide excellent customer service to attendees.

Assist in post-event reporting, including debriefs, performance metrics, and recommendations for future events.

Research industry trends and competitor events to identify innovative concepts and best practices

Support the team with all written communication that follows the policies, procedures, and business practices of Umano Property Management

Other tasks, duties and projects as directed by Company Owner

Required Qualifications:

Minimum of 1 year of experience in event planning, hospitality, marketing, or a related field

Strong organizational and project-management skills

Excellent communication and interpersonal abilities

Ability to multi-task, juggle multiple projects and meet deadlines

Proficient with Microsoft Office Suite

Access to high-speed internet

Strong written and verbal communication skills including reading, writing and speaking

Able to type 35-40 words per minute

Ability to work evenings, weekends and travel as needed

Prolific work ethic and ability to problem solve independently

Excellent dispute resolution skills with a passion for positive outcomes

Preferred qualifications

2+ years of experience in event planning, hospitality, marketing or a related field.

Bachelors degree in event management, marketing, hospitality or related field

Background in budget management

Experience with virtual or hybrid event platforms

Proficiency with Canva or similar platforms is a plus
