Monday through Friday
This position will be responsible for managing day-to-day administrative tasks, coordinating office activities, and supporting production, finance and sales & marketing staff with general administrative duties. This position requires a high degree of communication skills, a positive professional attitude, and an organizational mindset. Flexibility and initiative are essential qualities for this multi-tasking role.
The candidate must have experience with Microsoft Office (Word; Excel; Outlook), and a Basic Multi-Line Phone System.
Primary responsibilities:
Telephone Receptionist
Manage the Front-Desk main telephone system; screen incoming calls; utilize voice mailboxes; announce calls via the intercom and paging systems.
Maintain & distribute telephone extension lists
General Office Duties
Open the office; turn on the lights, make coffee
Screen walk-in and scheduled on-site visitors.
Coordinate meetings, and various schedules via:
Front desk calendar.
Perform ongoing updates, additions, and reviews in appropriate database.
Distribute daily mail, and misc. correspondence.
Maintain all office equipment, and related service contracts.
Copy Machines; Fax; Telephone System; Shredding Service
Organize supply room & kitchen, coordinate and place orders for additional supplies.
Make sure that the kitchen area stays clean, and the conference rooms remain clean and are ready for the next meeting.
Assist with creating labels for project folders and binders.
Manage UPS and Fed-Ex overnight and local Courier deliveries.
Assist in planning and setting up luncheons and various events for clients/vendors/staff
Various ad hoc duties wherever needed
Assist Sales & Marketing
Work with sales team:
Assist with correspondence as requested.
Organize and distribute literature (journals & magazines).
Monitor info@dillonworks.com when Sales & Marketing Coordinator is out of office.
Assist Business & General Manager
Act as point of contact for:
Landscaping contract
Janitorial contract and supplies.
Coffee Supplier
Vending Machine Supplier
Assist General Manager with resumes
Assist with all resume logs, response, and setting up interviews.
Assist with editing and distributing policy and procedures updates.
Assist with disbursing and tracking benefits information.
Maintain various informational logs.
