This role is responsible for assisting the Project Manager in managing project administration for small works construction projects. Responsible for assisting the project team with daily tasks, administration & purchase orders. Maintain constant focus in a fast paced, small team office environment.
FULL TIME position would be for an experienced office admin with the ability to learn.
Please be located locally or close by; taking commuting times into consideration.
We are flexible on start and end times. Understanding of time needed for appointments, ect.
Essential Functions:
ASSIST WITH PERMIT PROCESS AND COORDINATING CITY INSPECTIONS
QUICKBOOKS DATA ENTRY - Project invoices
Time Management: The ability to organize and manage multiple priorities- be a self starter and motivated.
Strong problem solving, organizational skills and detailed oriented
What you’ll do:
ASSIST THE PROJECT MANAGER IN THE FOLLOWING ACTIVITIES:
Process project administrative work including subcontractor bidding process, project cost updates.
Job start-up paperwork
Draft change orders to contracts
Scheduling: Invoice approval process with ongoing projects
Solve problems and trouble-shoot in conjunction with the assigned project team.
Ensure all documentation procedures are being followed (e.g., as-builts, permit books, warranty books, insurance certificates, etc.)
Maintain and update inspection reports
Other duties as assigned by manager

Construction, MS office suite, Insurance, Adobe Project coordination, Change orders, Microsoft excel, Microsoft Project, Administrative support, Microsoft office, Project administration.

Proven written and verbal communication abilities.
Proficiency with computer applications, including Microsoft Office.
Proficient in Adobe and Microsoft Office.
YOU MUST HAVE THE BASIC ABILITY, AND KNOWLEDGE, TO PROBLEM SOLVE BASIC EMAIL, WORD DOC, AND EXCEL ISSUE ON YOUR OWN, and assist the project manager as needed.
