POSITION #1

Job Title: Grant Writer

Department: Administration

Location: Remote

Position Type: Part-Time, Contract

Pay Range: $20 - $25/Hr.

Job Overview: The Seattle Science Foundation (SSF) is seeking a detail-oriented and organized Grant Writer to assist with the submission of grants for our 2025 courses. This role involves preparing and submitting grant applications for 17 full-day courses and various series. The grant submission process is online, straightforward, and can be completed on your own schedule. The position is ideal for someone who is self-motivated and can work independently to meet deadlines.

Key Responsibilities:

Prepare and submit grant applications for SSF’s 2025 courses.

Manage the submission process for 17 full-day courses and related series.

Allocate approximately 10 hours of work for three larger courses, with 8-10 hours each for others.

Ensure that all grant submissions are accurate, complete, and submitted on time.

Collaborate with SSF staff to gather necessary information for the grant applications.

Maintain accurate records of all grant submissions and track their progress.

Qualifications:

Proven experience in grant writing and submission, particularly in educational or non-profit settings.

Strong organizational skills and attention to detail.

Ability to manage multiple projects simultaneously and meet deadlines.

Proficient in using online submission portals and tools.

Excellent written communication skills.

Job Title: Education Coordinator

Department: Administration

Reports To: Chief Operating Officer

Salary Range: $20 - $28/Hr.

Position Overview:

The Education Coordinator at the Seattle Science Foundation (SSF) plays a crucial role in ensuring the smooth and efficient operation of our office. This position is responsible for managing daily administrative tasks, providing exceptional customer service, and supporting the planning and execution of SSF medical education activities. The ideal candidate is organized, detail-oriented, and capable of handling multiple tasks with a high level of professionalism.

Key Responsibilities:

Guest Services:

o Greet all incoming guests with a warm and professional demeanor, ensuring a positive experience for visitors and clients.

o Provide excellent customer service in person, over the phone, and through electronic communications.

Communication Management:

o Answer and direct incoming phone calls, emails, and faxes, responding to inquiries or directing them to the appropriate staff member.

o Regularly update and maintain SSF’s email and contact lists, ensuring accuracy and timeliness.

Office Management:

o Order and manage office supplies, ensuring that necessary items are always in stock.

o Maintain the appearance and organization of the SSF conference space, ensuring it is always presentable for guests and events.

Logistics and Meeting Support:

o Coordinate shipping and receiving of packages, and track inventory of supplies.

o Provide comprehensive meeting support, including setting up and breaking down meeting spaces, arranging food and beverage services, and coordinating hotel reservations, faculty airline travel, and transportation.

o Assist with other logistical tasks to ensure the success of each SSF activity.

Qualifications:

Undergraduate degree preferred.

Proven experience as an administrative assistant or in a similar role.

Excellent verbal and written communication skills.

Strong organizational skills with the ability to manage multiple priorities.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Ability to work independently and as part of a team.

Work Environment:

This position operates in a professional office environment and routinely uses standard office equipment. Occasional evening or weekend work may be required to support events.
