Job Overview
This is a temp-to-permanent position. We are seeking a highly organized and friendly Administrative Assistant to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing incoming phone calls and a variety of administrative tasks. This role requires strong communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.
Duties
Greet and assist visitors in a professional and courteous manner.
Manage multi-line phone systems, directing calls to appropriate personnel and taking messages as necessary.
Perform data entry and maintain accurate filing systems for easy retrieval of information.
Utilize QuickBooks for bookkeeping tasks (data entry) as needed
Handle clerical duties such as typing correspondence
Maintain a clean and organized desk area to create a welcoming environment for customers.
Assist with office management tasks to ensure smooth daily operations.
Requirements
Previous experience in this or similar type of role is preferred.
Have worked with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
Strong computer skills with the ability to learn new software quickly; experience with QuickBooks is a plus.
Excellent organizational skills with the ability to manage multiple tasks simultaneously.
Bilingual candidates are highly desirable for effective communication with diverse clientele but not required
Strong phone etiquette and customer support skills are essential for this role.
Ability to maintain confidentiality and handle sensitive information with discretion.
Demonstrated time management skills with the ability to prioritize tasks effectively.
Pay and Benefits
Pay: $22-24/hr DOE plus Benefits: Medical / Dental / Vision / Short and Long term disability / Life Insurance / Paid Sick Leave
