Position Title: Financial Coordinator
Reports To: Dr. Daniel Hughes
Job Summary:
This is a customer service-oriented position in Chewelah, WA. The Financial/Insurance
Coordinator works with patients to resolve account problems and assist patients with insurance
benefits. In addition, this position communicates with insurance companies regarding claims,
enters all insurance checks and reviews accounts for further action. The Financial/Insurance
Coordinator conducts treatment plan presentations and helps with collections and checking out
patients.
Qualifications:
To perform this job successfully, an individual must be able to satisfactorily perform each
essential duty as listed below.
Essential Duties for Financial Coordinator:
● Enter all dental insurance payments and patient payments
● Daily scan all processed EOBs relating to the insurance checks entered
● Send statements to patients with an outstanding balance after insurance payment is entered
● Monitors accounts receivable
● Prepare daily deposits. Check accuracy of all postings including but not limited to:
adjustments, payment type, entry errors, and doctor numbers. Accuracy is key
● Review Electronic Dental Services on a regular basis to clean-up information
● Process all refunds and check accounts for accurate postings
● Make notes in Open Dental for the appointment coordinator under the patient names with the amounts due so that effective collection over the counter can take place during the day
● Identify patients in the daily schedule who are a financial concern, note payment problems on the patient’s appointment and arrange a conference with them either prior to or at the time of the appointment
● Record all financial discussions with patients in the communications log
● Solidify the financial agreement with the patient, such as payment amount and schedule
● Prepare through EDS patients’ statements each month on a regular billing cycle
● Follow established financial protocol process
● Make collection calls to past due accounts
● Follow through with correspondence regarding collection when unable to contact patients on the telephone
● Prepare and send uncollected accounts to collections or small claims court, with the employer’s approval, and follow through as needed. Represent employer in small claims court, if necessary
● Monitor patients who have been turned over to collection agency
● Monitor work schedule to fill-in as needed at the front desk to answer phones, check-in, and check-out patients and collect the amount due, make appointments, enter new patient information properly into computer software, and make copies of insurance cards, driver’s license, and necessary information
Essential Duties for Insurance:
● Study the insurance plans that are used most frequently with patients to understand the various nuances of each plan in order to communicate more effectively.
● Determine insurance eligibility, limitations and payment estimates necessary to facilitate financial arrangements.
● Educate patients, as necessary, regarding insurance, their responsibility and basic terminology.
● Process and submit insurance claims daily.
● Monitor and follow-up on outstanding claims.
● Send information as requested by insurance companies such as x-rays, charting, narratives and other documentation for processing the claim when applicable.
● Correspond with insurance companies to resolve payment delays, request for additional information, or to discuss treatment that has been denied coverage.
● Process all inquiries concerning insurance on a daily basis.
Knowledge/Skills/Abilities:
● Knowledge of collection techniques and laws
● Knowledge of English composition, grammar, spelling, and punctuation
● Skilled in the use of standard office equipment including telephones, calculators, copiers, fax machines, computers, and computer software (MS Excel, Word, Google Drive, Practice Management software)
● Ability to maintain composure and professionalism when exposed to stressful situations
● Ability to engender trust from doctors, co-workers, and patients
● Ability to work cooperatively with management, staff, and patients
● Ability to prioritize, organize, and complete tasks in a timely and independent manner
● Ability to accept constructive criticism
● Ability to understand and follow written and verbal instructions
● Ability to collect data, establish facts, draw valid conclusions, and maintain confidentiality
● Ability to communicate and express thoughts regarding duties and responsibilities
Education / Experience
● High school diploma or equivalent
● Experience preferred although not required pending applicants proven skill set
Special Requirements / Certifications / Licenses:
● None required
Physical and Environmental Requirements:
● May be required to lift up to 25 lbs
● Sedentary position: may be required to sit for long periods of time
● Vision: close vision, depth perception, and ability to adjust focus
● Hearing: able to satisfactorily communicate with patients, doctors, and other staff members to ensure that verbal communication is clearly understood, or a satisfactorily-equivalent method of communication
● Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or operate equipment
● Possible exposure to toxic or caustic chemicals, radiation, and infectious disease.
● Exposure to moderate noise levels
● Potential exposure to hectic, fast - paced, high stress situations
