Job Summary: We are seeking a detail-oriented and experienced Accounting Clerk to join our team. The ideal candidate will have at least 2 years of formal accounting education and a minimum of 4 years of relevant work experience. This role involves a variety of accounting tasks, including data entry, accounts payable/receivable, cross-training payroll, and general office support. The candidate will be expected to work closely with the Accounting Manager and contribute to the smooth functioning of our accounting department.
Key Responsibilities:
Data Entry for Accounts Payable: Accurately enter invoices and bills into the accounting system for payment processing.
Accounts Receivable Billings: Generate and send out invoices to clients, ensuring accurate billing information.
Cross-training Payroll: Assist in payroll processes and gain hands-on experience to support payroll duties as needed.
Receive Payments: Process incoming payments from clients and ensure proper recording in the accounting system.
Maintain File System: Organize and maintain both physical and electronic accounting files for easy access and retrieval.
Answer Phones – Messages: Answer phone calls, take messages, and direct inquiries to the appropriate department or person.
Job Setup & Closure: Set up new jobs in the system, track project status, and assist with job closure procedures.
Maintain Small Works Roster: Track and maintain a roster of small works
Assign PO#’s: Issue and assign Purchase Order numbers for company purchases and services.
Office Miscellaneous Errands: Perform miscellaneous errands to support office operations, including deliveries or other ad-hoc tasks.
Miscellaneous Office Tasks as Needed: Provide general office support, including document preparation, filing, and clerical tasks.
Support of Accounting Manager: Assist the Accounting Manager with various financial and administrative tasks as required.
Qualifications:
Education: Minimum 2-year Accounting Degree or related field.
Experience: Minimum 4 years of accounting work experience.
Skills:
o Strong attention to detail and accuracy.
o Proficient in accounting software and Microsoft Office Suite (Excel, Word, Outlook).
o Excellent organizational and time-management skills.
o Ability to work effectively both independently and as part of a team.
o Strong communication skills, both written and verbal.
Preferred Qualifications:
Previous experience in a similar accounting role.
Familiarity with payroll processing.
Knowledge of accounting principles and practices.
