We are looking for someone who can handle a wide variety of administrative tasks while looking holistically at the needs of the office to implement procedures and workflows for the entire administrative team. The person in this role would be the “go-to” person and main point of contact for delegating tasks to interns, understanding growth goals of the business and managing more long-term organizational projects for things that the Advisor would like to do to grow his business.
Ideally you would be familiar with the following programs (but it is not required):
Microsoft Teams
Trello Boards
Microsoft Suite
Redtail CRM
While this role's needs are unique, there is an opportunity for creative problem solving and to see first-hand how this office is impacting the financial literacy of our youth. Due to the nature of training (online video training over the course of 2-3 months), we are looking for someone interested in a long-term position, willing to participate in the paid training that will assist you in learning how to handle bigger tasks related to investment management, and would be passionate about taking the lead in implementing a system to train/oversee the other administrative staff (interns).
Daily/Weekly tasks include (but not limited to):
Reading all outgoing emails to clients to stay current on client/office needs
Organizing and utilizing effectively Microsoft Teams for seamless workflows
Maintaining the procedures manual as new tasks are learned
Learning and figuring out efficient workflows in the CRM (Redtail)
Watching training videos on investment management support tasks for the Advisor
Delegating and monitoring tasks assigned to interns
Handling any needed correspondence with payroll person, bookkeeper, or other office vendors
Occasionally sitting in on client meetings
Manage/maintain your own organizational workflow to track all current and future needs of the Advisor
