The Executive Support Manager (ESM) is a key member of the KIPP Delta team to support the Executive Director (ED), who is based in the KIPP Delta office located in Blytheville, AR. (The ESM can work at the KIPP Delta office and at a remote site.) The ESM will work to increase the efficiency and effectiveness as well as to identify and take action on core communications to drive the impact of KIPP Delta’s ED. The Executive Support Manager will report directly to the Executive Director.As Executive Support Manager, your core responsibilities include but are not limited to the following:Key ResponsibilitiesSupportWork directly with the Executive Director to support all aspects of their daily work routine including calendaring, inbox management, meeting agenda preparation, internal and external communications, and task prioritization.Serve as a liaison between the ED, KIPP Delta Public Schools (KDPS) staff and the public. This includes answering a variety of questions with tact and diplomacy, taking messages, and directing calls and/or emails appropriately for resolution.Coordinate work with other KDPS staff as needed; play a key role in the coordination of staff efforts.Provide coordination, monitoring, and communication of projects and programs managed by KDPS.Assist in KDPS activities and processes including project planning, intake, prioritization, initiation, and execution; as well as in fostering collaboration of end-users and key stakeholders.Determine priority of matters of attention for the ED; redirect matters to staff to handle, or handle matters personally, as appropriate.Attend board meetings and take notes of discussion; prepare the initial draft of board meeting minutes and summaries.Other additional and/or alternative duties as assigned, including supporting other departments or Executives as needed.CommunicationSort and triage e-mail.Prioritize emails and respond via delegate access when necessary.Assist the ED in the development of presentations for internal and external audiences.Keep the ED advised of time-sensitive and priority issues, ensuring appropriate follow-up.Transcribe source material, prepare documents, reports, tables and charts; distribute as appropriate.OrganizationMaintain the ED’s calendar, including scheduling meetings, appointments, speaking engagements, and travel arrangements. Exercise discretion in committing time.Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials.Prepare, reconcile, and submit ED’s expense reports.Maintain paper and electronic filing systems.Maintain confidential and sensitive information.Organize and prepare for meetings, including gathering documents and attending to logistics of meetings.Ability to identify and document trends, elevate to EDDemonstrate a Growth MindsetPursue challenging professional goals each year.Demonstrate professional growth through feedback and learning opportunities.Participate in department-wide and individual professional development.
