As we continue to grow, we’re looking for a dependable, detail-oriented Office Administrator & Client Outreach Coordinator to help support day-to-day operations and provide top-tier service to our clients.
Position Overview:
This is a hybrid role combining administrative support with client interaction. You'll play a key role in organizing internal operations, maintaining accurate records, managing communications, and ensuring smooth logistics for pickups and processing. You’ll also connect with new and existing clients through outbound outreach, scheduling, and service follow-ups.
Key Responsibilities:
Answer and direct inbound calls with professionalism and courtesy
Perform administrative tasks including filing, scanning, data entry, and report preparation
Complete and maintain internal documentation and compliance records
Schedule pickups, coordinate route logistics, and confirm client availability
Conduct outreach to current and potential clients for scheduling, follow-ups, and service reminders
Support the sales and operations teams with day-to-day organizational needs
Maintain accurate and organized digital and physical records
Track and manage customer communications through CRM or internal systems
What We're Looking For:
Strong organizational skills and high attention to detail
Excellent written and verbal communication
Professional phone etiquette and a customer-first mindset
Ability to multitask and manage shifting priorities
Experience with Microsoft Office / Google Workspace; CRM experience a plus
Prior experience in office administration, logistics, or client-facing roles preferred
