The Document Management Technician (DMT) position is an entry level position that allows you to utilize your organizational skills while working closely with attorneys and other litigation support professionals in a fast-paced setting, to collect, store and retrieve important documents as needed. You will provide critical case support to the US Attorney’s Office in Lander, WY to assist with its mission of investigating and prosecuting cases to enforce the law and defend the interests of the United States. Office Automation Tasks
Performs simple typing assignments using word processing equipment. Assists in copying, scanning and faxing documents; assists in organizing, naming and numbering electronic and hard copy case materials. Assembles/disassembles documents as required, taking care to ensure that original documents are reassembled exactly to their original state.
Assists legal support staff and attorneys in developing documentation for use in court to include but not limited to exhibits, notebooks, including pulling file copies of documents, tabbing binders, numbering, binding, labeling, and re-filing documents.
Assists with data entry in various systems to include but not limited in nature to legal, property, or case management systems. Enters data sufficiently and accurately.
Assists office personnel in cleaning out closed case files of extraneous and not required materials, separates or compiles materials to be destroyed later according to office policies and procedures. Prepares paper and electronic case files for disposition to the Federal Records Center.
Maintains logs of assigned active cases. Tracks filing, hearings, and trial dates, and scheduling conferences and interviews. Develops and maintains suspense systems for ongoing cases and informs the AUSA of pending dates and deadlines. Maintains calendar(s) of the AUSA(s), scheduling appointments, interviews, and conferences, and provides reminders of commitments and court appearances.
Receives and escorts visitors to the appropriate personnel after being registered in the visitor management system. Contacts the District Office Security Manager when there are any concerns about the visitor.
Inventory general office supplies ensuring that supply and copy rooms are stocked with commonly used items. Notify purchase cardholders of common supplies and special orders that need to be placed. Keep supply and copy rooms orderly. Assists in undertaking local inventory control functions by assisting property management officials in inventory and preparing excess property items for disposal. Individual will assist in maintaining automated inventory control records and hard copy documentation. Notify purchase cardholder of supplies received and assist with distribution of supplies to the appropriate location.
Conducts daily server room equipment checks as directed by the District Systems Manager.
Conducts biannual and annual Workplace Occupational Safety & Health Inspections that are directed by the District Office Health and Safety Officer.
Coordinate service with appropriate District personnel or GSA for computer equipment (copier, computers, or phones) or facilities (plumbing, fire alarms, carpet cleaning).
Escort and assist individuals visiting the office to perform cleaning or maintenance tasks such as fire alarm testing, construction, or electrical work.
Correspondence
Receives and processes incoming mail in accordance with safety procedures in place for the district.
Prepares office outgoing mail to include but not limited to postal service or FedEx packages by using the office postage machine or online FedEx tool.
Provides court run and afternoon mail drop off services for the district on all scheduled workdays.
