Greets and directs all individuals seeking services and visitors. Notifies appropriate staff of their arrival.
Answers switchboard phone system, routes calls, and answers facility information inquiries pleasantly.
Appropriately directs emergency/crisis calls.
Facilitates the handling of crises/emergencies as needed. Contact medical and clinical staff for assistance to ensure that the needs of the individuals seeking services are met.
Schedules all new and established person appointments.
Schedules appointments appropriate for payer type (Insurance, Medicare, Medicaid, etc.).
Schedules follow-up appointments and internal referral appointments.
Reschedule appointments as needed.
Works closely with the Practice Manager and providers to maintain a complete and accurate schedule of appointments.
Run reports for scheduling daily.
Informs individuals potentially receiving services about initial visits and treatment choices.
Collects demographic information promptly.
Notifies client of preauthorization requirements.
Informs callers of agency policies regarding payment at the time of service and sliding scale availability.
Computes and collects payments at the time of service for self-pay, insurance co-pays, and deductibles. Performs tasks related to payment collection.
Coordinates with Client Account Representatives for those individuals who may need assistance with their balance.
Responsible for maintaining a change fund and completing daily cash reconciliation.
Remains familiar with payer payment restrictions determined by provider status/credentials/type.
This position requires compliance with MSHS’ compliance standards, including the Code of Conduct, Compliance Program, and policies and procedures. Such compliance will be considered part of the regular performance evaluation.
Summary:
The receptionist is primarily responsible for answering incoming calls, scheduling appointments, collecting registration information, and providing overall customer service efficiently, courteously, and timely. This position supports the billing department and providers by performing clerical, reception, and communication activities.
