Hiring Office Administrative Assistant

We are seeking a highly organized and proactive Administrative Assistant to support our team in various administrative tasks. The ideal candidate will possess excellent communication skills, attention to detail, and the ability to manage multiple priorities effectively.

Key Responsibilities

Office Management:

Maintain office supplies and inventory.

Organize and coordinate office operations and procedures.

Communication:

Answer and direct phone calls.

Manage incoming and outgoing correspondence, including emails and mail.

Scheduling:

Schedule appointments, meetings, and travel arrangements.

Maintain calendars for team members and ensure all meetings are well-organized.

Documentation:

Prepare and edit documents, reports, and presentations.

Maintain filing systems, both electronic and physical.

Support:

Assist in cross-department management and coordination.

Provide support to other team members as needed.

Qualifications

Education:

High school diploma or equivalent; associate or bachelor’s degree preferred.

Experience:

Proven experience as an administrative assistant or in a similar role.

Familiarity with office management procedures and basic accounting principles.

Skills:

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Strong organizational and time management skills.

Excellent verbal and written communication skills.

Bilingual (English & Spanish) Preferred

High level of discretion and confidentiality.

Working Conditions

This position typically operates in an office environment.

Standard working hours are Monday to Friday, 9 AM to 5 PM, with occasional overtime as needed.
