The PositionWithin this role, you will be responsible for providing administrative support to the GalleryCurator, assisting with a wide variety of operational requirements relating to the communication, preparation, installation, and deinstallation of exhibitions at the William D. Cannon Art Gallery, Dove Library, Cole Library, and Library Learning Center, and related work as required.The right candidate will have high standards and appreciate working for an organization thatvalues quality. This job needs a well-rounded professional, a generalist with extensiveknowledge of various computer programs (Excel, Microsoft Word and Power Point) andexperience assisting with the coordination of a wide variety of communications programs, including gallery-related tasks, daily operations, database maintenance and hospitality. Candidates should be detail oriented with the ability to communicate effectively, both orally and in writing.This part-time (hourly) position requires availability for three 6 ½ hour shifts on three week days and with additional variable schedule that occurs particularly prior to opening and closing of exhibitions.Part-time (hourly) positions with the city are not benefitted and cannot exceed 980 total hours worked in a fiscal year.About the William D. Through museum-quality exhibitions, hands-onfamily activities, acclaimed arts education programs, lectures and publications, the Gallerystrives to make the visual arts an accessible, integral and ongoing part of the community’slife.Key Responsibilities

Under the direction of the Gallery Curator, coordinate and organize communications, content, inquiries, and activities relating to exhibitions, educational events and bookings in the Gallery.

Manage various photo files and databases.

Assist in gallery title cards, labels, graphics, didactic panels, and gallery guides.

Coordinate community arts displays including artist contacts, loan agreements, scheduling and installation.

Coordinate with Gallery staff and volunteers maintaining an ongoing schedule.

Provide clerical assistance to the Curator through tasks such as artist contacts, typing labels, drafting letters, setting up and minuting related meetings, filing information and managing exhibition feedback.

Provide front line office support in clerical and administrative matters to the Gallery Curator and to other Gallery staff as required, dealing with phone and written inquiries, creating PowerPoint presentations and general tasks.

Assist in event planning such as gallery receptions and ancillary gallery programs.

Physical Requirements:

Must be able to lift, push, pull or carry 40 pounds.

This position may occasionally require incumbents to lift or move equipment such as gallery pedestals during the course of duties assigned.

Qualifications

Extensive knowledge of various computer programs including Microsoft Office.

Possess excellent customer service and mentorship skills.

Ability to communicate effectively, both orally and in writing.

Strong organizational skills and attention to detail.

Willingness and ability to be flexible and creative in considering solutions.

Experience & Education

Bachelor’s degree in Art History/Administration or related field.

Two years of progressive professional experience (including administration or customer service)
