The Boys & Girls Club of the Redwoods is looking to add to our Administrative Team! We are looking for someone who is high energy, organized, friendly and excited about our mission. Our administrative team plays a key role in supporting our organization, so that our program staff can provide a quality club experience for our youth. The position is 30 hours a week. PRIMARY FUNCTION:

Provide regular clerical and administrative support to the Executive Director or other

Club senior staff, as necessary. Prepares correspondence, reports, data input to donor database, maintains website, schedules, answers the telephone, performs some accounting/bookkeeping duties, and performs some IT work.

KEY ROLES (Essential Job Responsibilities):

1. Provides general office support, including phone/receptionist/e-mail communication, running work-related errands, maintaining master schedule of Club activities and events including van checkout and facility rental calendar.

2. Monitors office supply inventory, works with staff on supply orders, obtaining competitive bid/pricing as necessary.

3. Responsible for managing inventory of office equipment and service contracts,

performing routine maintenance activities and contacting service representatives as needed.

4. Perform administrative assistance in human resources duties including maintaining employee and volunteer files, updating and obtaining insurance certifications, running background checks, assisting with new hire tasks, and online internal reports coordination.

5. Maintain and update online presence including website, social networking sites, e-newsletter, and sending out public service announcements.

6. Data input to donor data base including input of donations, thanking donors, updating contact information, and assistance in coordination of fundraising events and direct mailing campaigns.

7. Maintains master schedule of Club activities and events, collecting and disseminating

information to Club staff, volunteers, members and families as instructed; van checkout and Teen Center rental calendar.

8. Work with outside contractor and other program staff in performance of needed Information Technology duties to include managing and coordination of software and hardware updates, troubleshooting computer/printer problems, and purchase of equipment.

9. Perform and/or provide assistance in accounting duties as assigned to include payroll and accounts payable within parameters of internal controls between staff.

10. Provide other related secretarial or administrative duties as requested.

SKILLS/KNOWLEDGE REQUIRED:

One year of college.

Minimum of one year relevant experience to include donor database, website and social media duties; nonprofit work experience a plus.

Must be detail-oriented with excellent organizational, multi-tasking abilities, and be able to prioritize and organize one’s schedule.

Computer skills required including proficiency with Word, Excel, Publisher, Google calendars, donor data bases, web sites

Good written and verbal communication skills; able to work in a team environment.

Strong customer relations skills.

Able to maintain strict confidentiality and strong boundaries.
