Position Overview:

We are seeking a detail-oriented and proactive Secretary to manage administrative tasks and streamline our operations. This role is crucial in ensuring the efficiency and organization of our business functions, enabling us to provide top-tier service to our clients.

Key Responsibilities:

1. Administrative Tasks:

Submit employee hours and process check request forms.

Schedule jobs and appointments for the team.

Order supplies and equipment as needed.

Handle phone calls, emails, and letters; respond to customer inquiries and forward them to the appropriate department.

2. Scheduling and Calendar Management:

Organize appointments, meetings, and events.

Maintain and update the business operations and deadlines calendar.

3. Document Preparation and Management:

Draft, edit, and format documents, letters, and reports.

File and store documents electronically and physically.

4. Record Keeping:

Maintain accurate records, including invoices, receipts, and contracts.

Organize employee files and company documentation.

5. Bookkeeping Assistance:

Prepare and send invoices; process payments.

Assist with payroll and basic accounting tasks.

6. Mail Handling:

Sort, distribute, and send mail or packages.

7. Follow-Ups:

Conduct follow-ups on client inquiries, proposals, or invoices.

8. Project Support:

Provide administrative support for ongoing projects.

Coordinate communication between team members and stakeholders.

Additional Responsibilities:

In a small business, secretaries often wear many hats and may take on additional duties, such as:

Assisting with marketing efforts, including newsletters and social media management.

Helping with HR tasks, such as onboarding new employees and maintaining employee records.

Maintaining vendor and supplier relationships to ensure smooth operations.

This role requires flexibility, strong organizational skills, and the ability to multitask effectively.

Qualifications:

Proven experience in administrative or secretarial roles.

Proficiency in Microsoft Office Suite and/or Google Workspace.

Strong organizational and multitasking skills.

Excellent written and verbal communication.

Familiarity with basic bookkeeping and payroll tasks is a plus.

Ability to work independently and maintain confidentiality.

Work Schedule:

Flexible, part-time schedule (8-16 hours per week).
