Administrative Assistant for Construction Office

Responsibilities:

This position will assume responsibilities to support the Office Manager.

Job Duties:

Input all AP invoices in Foundation Construction Software.

Reconcile credit card expenses monthly.

Maintain accurate cost coding for projects and administration.

Update service call log and create service call tickets.

Support field operations for administration requests.

Order and maintain business licenses for current projects.

Order certificates of insurance.

Complete all necessary new job tasks.

Support and greet visitors as needed.

Maintain filing systems, both electronic and physical.

Carries out administrative duties such as filing, typing, copying, binding, scanning, etc.

Opening and sorting incoming mail.

Update and maintain daily bid list.

Accurately typing up proposals and sending them out to the appropriate party via email.

Ensures organization and clerical accountability.

Screening phone calls and routing callers to the appropriate party.

Maintain polite and professional communication via phone, e-mail, and mail.

Anticipate the needs of others to ensure their seamless and positive experience.

Handling other office tasks as they are delegated.

Administrative Assistant Requirements:

Proficiency with Excel, Microsoft Word, and FOUNDATION software.

Prior administrative experience is a plus.

Attention to detail.

Exceptional time management and verbal and written communication skills.

Professional manners and a strong ethical code.

Ability to multitask and remain motivated and positive.

Commitment to working efficiently and accurately.

Experience in the construction industry preferred.

Compensation dependent on experience.
