Sr. Administrative Specialist
Long-Term Contract Role: 6+ Months
Schedule: 6:00 AM – 4:30 PM, Monday through Thursday (4/10 Work Schedule)
We are seeking a highly qualified Sr. Administrative Analyst (Facility Contracts Administrator) to oversee the administration and maintenance of facility assets, including buildings, residences, grounds, and equipment.
Responsibilities:
Administer various facility management services and supplier contracts.
Plan, schedule, and oversee contractors and maintenance personnel performing facility construction, operations, and maintenance activities.
Perform contract management duties, including quality control inspections to ensure compliance with contract specifications.
Approve contractor invoices, maintain project schedules, and coordinate contractors and staff trades.
Keep management informed on all aspects of repairs and projects.
Support events and collaborate closely with internal and external work groups.
Conduct periodic assessments of facility operations and services, making recommendations to improve cost efficiency and effectiveness.
Provide housing-related project support during construction, ensuring design acceptance, project phasing, continuity of operations, and safety considerations.
This role requires flexibility to manage multiple scheduled Capital Improvement Projects (CIPs) occurring simultaneously. The successful candidate will manage contract work across all four Desert Villages: Gene, Iron Mountain, Eagle Mountain, and Hinds.
Qualifications:
Education & Experience:
With Bachelor’s Degree: Minimum of 6 years of experience in Facility Management operations and services.
With Master’s Degree: Minimum of 4 years of experience in Facility Management operations and services.
Relevant Experience Includes:
Plant operations, janitorial services, food services, building engineering/maintenance trades, space planning, move management, or customer service in a commercial office environment.
Knowledge of building codes, construction practices, skilled trades, OSHA regulations, and fire/life safety procedures.
Data analysis, report creation, and presenting findings to senior management in both written and oral formats.
Contract Administration Experience:
Minimum of 4 years in a Contract Administration/Management role within a building/facility maintenance/management environment.
Expertise in contract compliance, quality control, specification development, proposal evaluation, contract negotiation, and invoice processing.
