Description Are you an experienced and professional Executive Assistant seeking a dynamic opportunity at a large, forward-thinking firm? Our Irvine, California-based client is looking for a highly-skilled individual to join their team. As the Executive Assistant, you will be responsible for providing comprehensive administrative support to executive management, ensuring the smooth operation of day-to-day activities. If you are detail-oriented, organized, and have a passion for supporting high-level executives, this could be the perfect role for you.Key Responsibilities:

Presentation Preparation: Create and maintain presentation materials, ensuring they are polished and ready for executive use.

Travel and Meeting Arrangements: Coordinate travel logistics and schedule meetings, ensuring executives are well-prepared and on time.

Report and Financial Data Preparation: Prepare reports and financial data, ensuring accuracy and timeliness.

Staff Management and Customer Relations: Teach and manage other support staff, and handle customer relations as needed.

Call Screening and Management: Vet calls and manage executive communication channels.

Calendaring Experience: Experience managing complex executive calendars.

Understanding of Multiple Executives: Ability to support multiple executives simultaneously.

Event Coordination Comprehension: Knowledge of event coordination principles and practices.

Executive Meeting Experience: Experience coordinating and facilitating executive meetings.

Event Logistics Knowledge: Familiarity with event logistics and coordination.

Supporting Schedule Understanding: Understanding of executive schedule management.

Account Management Experience: Experience managing executive accounts.

Microsoft Proficiency: Proficient in Microsoft Office Suite.

Administrative Management Knowledge: Knowledge of administrative management principles.

Accrued Expenses Experience: Experience managing accrued expenses.

Meeting Scheduling Skills: Ability to efficiently schedule executive meetings.

Administrative Experience: Strong administrative skills and experience.

High-Level Executive Support Experience: Experience supporting high-level executives.

Scheduled Appointments Experience: Experience scheduling executive appointments.

Travel Scheduling Experience: Experience scheduling executive travel.

Lodging Expenses Knowledge: Knowledge of lodging expense management.

Meeting Coordination and Planning Familiarity: Familiarity with meeting coordination and planning.

Adobe Acrobat Experience: Experience using Adobe Acrobat for document management.

Executive Leadership Understanding: Understanding of executive leadership principles.

Corporate Office Experience: Experience in a corporate office setting.

Administrative Office Experience: Wide-ranging experience in administrative office settings.

Excellent Social Skills: Strong interpersonal and communication skills.

Project Coordination Experience: Experience coordinating projects.

Ability to Work with All Levels: Ability to work well with all levels of internal management and staff, as well as outside clients and vendors.

Internet Research Skills: Strong internet research skills.
