Front Desk Coordinator

Description A front desk coordinator is responsible for managing all front desk operations and ensuring that the company's reception area is well maintained and functioning efficiently.Key Responsibilities:

Greeting and directing visitors to the appropriate areas or staff.

Answering and routing phone calls, managing the company’s switchboard system, receiving and sorting mail, and deliveries.

Scheduling appointments, maintaining calendars, and coordinating meetings.

Assisting in various administrative tasks, such as filing, record keeping, and data entry.

Providing information about the organization and its services to customers or potential business partners.

Handling and resolving customer complaints.

Assisting other departments with administrative needs.

Conducting and managing office supplies and inventory.

Ensuring security procedures are adhered to, such as managing visitor badges or signing in and out.

Implementing and improving upon administrative processes for more efficient workflow.

Requirements

Qualifications:

A high school diploma or equivalent is usually required, however, a bachelor’s degree in business administration, or related field, can be preferred.

Several years of professional experience in customer service or administrative roles.

Strong verbal and written communication skills.

Proficiency in office technology, including phone systems, office equipment, and computer programs like MS Office or Google Suite.

Excellent organizational and multitasking skills.

A polite and professional disposition with a focus on customer satisfaction.

Ability to work independently or as part of a team.

Attention to detail and problem-solving abilities.

Adaptability and resilience to quickly changing situations.

Understanding the basic operation of the organization in order to provide accurate information to visitors and callers.
