Description/Job SummaryThe Administrative Assistant will support the Director of Administration and the Manager of Legal Recruiting and Associate Life. Under general supervision, the Administrative Assistant is responsible for administrative and office support functions such as maintaining records and files, scheduling meetings, arranging conference calls, handling information requests, conducting research, processing invoices, preparing correspondence and reports and liaising with staff in various departments and external contacts. This role will also support the summer program and on campus recruiting efforts. This position is required to be in-person, Monday - Friday.Responsibilities/Duties
Receive and screen visitors and calls, take messages, schedule appointments with internal and external parties, coordinate and confirm meeting reservations, manage calendars, provide information and direct inquires to appropriate resources and/or personnel accordingly
Maintain office files, databases, confidential records, forms or other related information for the department verifying data for accuracy and completeness
Receive and distribute mail, faxes and e-mail; assist with bookkeeping/accounting functions as appropriate
Proo and correct prepared materials for grammar, format, completeness and content
Conduct research, compile data, and assist in preparing presentations and reports as required
Maintain established Firm and departmental policies and procedures; assist in developing or revising procedures, practices and forms as directed
Assist with recruiting related projects and the firm's summer associate program
Perform other duties as assigned, which will include covering reception and office services
Willingness to work overtime
Required Skills
Ability to effectively present information verbally and in writing
Basic math skills: addition, subtraction, multiplication, division
Proficiency in MS Word and Excel; familiarity with MS Outlook
Familiarity with office equipment such as fax machines, copiers, and phone systems, word processing, database management
Strong interpersonal and organizational skills required
Ability to manage projects and work collaboratively in a team environment
Attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines
Ability to use diplomacy, confidentiality and discretion in relaying information
Ability to adapt to diverse work styles, providing consistent and personable service
Preferred Skills
Experience with ViRecruit or other applicant tracking systems
Required Experience
2 to 4 years of relevant experience required
Required Education
High School Diploma or GED equivalent required
Preferred Education
Bachelors Degree preferred
DetailsCA only: The estimated base salary range for this position is $50k to $65k at the time of posting.The actual salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job.
