Description We are in search of an Administrative Coordinator to join our team in Los Angeles, California. The role is central to creating a positive and engaging environment for our team members. The Administrative Coordinator will be instrumental in maintaining an organized and efficient office space, managing various administrative tasks, and fostering a welcoming atmosphere.Responsibilities: Overseeing the reception duties such as greeting, checking in, and interacting with visitors and vendors. Handling the receipt, logging, and sorting of company mail and packages. Managing the printing, scanning, and maintenance of confidential files and documents. Coordinating and communicating team-building activities and events both in-house and off-site. Creating and communicating a monthly newsletter detailing office engagement events. Attending to facility needs such as cleaning, repairs, maintenance, and updating guidelines. Managing the inventory of office systems, swag, and the overall condition of the office, arranging necessary repairs by managing the workload of facility management vendors. Maintaining the inter-office calendar, scheduling company-wide meetings, holidays, and other important events. Addressing employees' queries/concerns regarding office management issues and working cross-functionally to find solutions. Overseeing the workplace budget, reviewing monthly to ensure expenditures are within budget. Requirements Familiarity and proficiency with CRM (Customer Relationship Management) software. Experience with the 'About Time' software is necessary. Capable of answering inbound calls in a detail oriented and efficient manner. Proven ability in managing calendars, scheduling appointments, and coordinating meetings. Strong communication skills, both written and verbal, are essential.
