We are currently seeking a highly organized and detail-oriented individual to fill the role of Appointment Services Coordinator. This position plays a crucial role in our company's operations by ensuring efficient scheduling and coordination of appointments for our clients and customers.Responsibilities:

Manage appointment schedules and calendars for clients, customers, and team members with precision and accuracy.

Coordinate logistical details for appointments, meetings, and events, including venue bookings, travel arrangements, and equipment setup.

Liaise effectively with internal departments and external stakeholders to facilitate seamless scheduling and communication.

Confirm appointment details with clients and customers, providing timely reminders and addressing any scheduling conflicts or adjustments.

Prepare comprehensive documentation for appointments, including agendas, itineraries, and meeting materials, ensuring clarity and professionalism.

Maintain meticulous records of appointments, contacts, and correspondence using CRM software or other designated systems.

Collaborate with colleagues to streamline appointment scheduling processes and implement best practices for efficiency and effectiveness.

Provide exceptional administrative support, including answering phones, responding to emails, and assisting with general office tasks as needed.

Uphold the highest standards of professionalism, confidentiality, and customer service in all interactions and communications.

Requirements:

High school diploma or equivalent required; additional education or certification in office administration or related field is a plus.

Proven experience in appointment scheduling, calendar management, or administrative coordination roles, ideally within a corporate or client-facing environment.

Exceptional organizational and time management skills, with a keen eye for detail and the ability to prioritize tasks effectively.

Excellent verbal and written communication skills, with a professional and polished demeanor in all interactions.

Proficiency in using scheduling software, CRM systems, and Microsoft Office Suite (Word, Excel, Outlook).

Strong problem-solving abilities and adaptability in managing changing priorities and deadlines.

Self-motivated and proactive attitude, with the ability to work both independently and collaboratively in a dynamic team environment.
