Legal Administrative Assistant

Bush Gottlieb is currently seeking an organized and detail oriented legal administrative assistant to join our committed team of union-side labor and employment law practice. Bush Gottlieb is a labor firm specializing in the representation of working people and the unions for nearly 50 years. We are conveniently located in Glendale with easy freeway access and have a lifestyle-friendly culture. The full-time, in-office position will provide support to multiple attorneys and the firm administrator while working closely with the legal assistants/paralegals as well as performing these other critical functions:

Answer and screen calls for assigned attorneys

Schedule meetings and make arrangements for conference rooms, set-up, etc.

Prepare and maintain expense reimbursements

Draft and edit documents and legal forms for accuracy

Maintain documents in document management system (iManage)

Arrange for outgoing mail and packages to be picked up

Create and maintain PowerPoint slides

Schedule conference calls and Zoom meetings

Review and edit assigned attorneys’ time entries for billing on a weekly basis (Juris)

Coordinate travel arrangements

Enter invoices into accounting program (Juris)

Reconcile credit card statement

Various spreadsheets for accounting and HR

Various correspondence, tasks related to admin, accounting and HR

Operate office equipment such as copiers and binding machines

Ideal candidate should be able to work independently, exercise common sense and demonstrate a strong work ethic. The candidate must be able to analyze and accurately report data, and must have the ability to communicate and present information to attorneys and clients effectively and in a professional manner. The ideal candidate will have at least two (2) years of experience working in an office, law firm preferred. The candidate must have thorough knowledge of Microsoft Office applications (including Excel functions and formulas and Power Point), pdf programs, macros, and document management systems.
