Cornerstone R/E Management, Inc. is a mid-sized real estate management company based in Pasadena, CA. We manage a diverse portfolio of apartment buildings, homes, condominiums, and commercial properties. Our mission is to provide responsive, professional service to both our clients and the residents who live in the properties we manage.
We are currently seeking a full-time Administrator to join our team. This role is based in our office and plays a critical part in the daily operations of our property management services. While the position supports our maintenance department, the primary focus is on administrative functions—processing service requests, coordinating with vendors and tenants, and maintaining accurate records in our property management software. Full training will be provided.
What You’ll Do:
Act as the main point of contact for incoming maintenance requests via phone, email, and online portal.
Log and track service requests using our property management software.
Assign work orders to appropriate vendors and coordinate scheduling with tenants.
Follow up on service completion and maintain clear records of communication and resolution.
Facilitate ongoing communications between homeowners, board members, vendors, and internal team members, particularly for HOA-related projects.
Review HOA meeting agendas and minutes to identify action items and provide updates.
Coordinate periodic inspections (e.g., smoke/CO2 detectors, roof and gutter inspections) and organize related logistics (e.g., notices, keys, inspection forms).
Provide general administrative support including phone coverage, data entry, and internal communication tracking.
What We’re Looking For:
A highly organized, detail-oriented individual who excels at multitasking and managing workflows.
Strong written and verbal communication skills are essential.
Comfortable using computers and learning new software platforms.
Bilingual (Spanish-English or English-Mandarin) is a plus but not required.
Prior experience in property management, office coordination, or real estate is preferred – however not mandatory.
Requirements:
Willingness to learn new systems, and high attention to detail.
Legal eligibility to work in the United States.
Availability Monday–Friday, 8:30 AM to 6:00 PM (8-hour shifts).
Technological literacy and strong administrative follow-through.
