We are seeking a full time administrative assistant/receptionist to join our team at Urban Collision Center.
Responsibilities:
· Maintains records.
· Have customers sign authorization forms, verify contact information, and collect keys upon vehicle drop off.
· Accept payments from customers regarding customer pay and deductibles.
· Protect the organization's value by keeping information confidential.
· Updates job knowledge by participating in educational opportunities.
· Primary phone receiver, should be answering 90% of incoming calls.
· Post invoices to correct customer account and file parts invoices (vendor).
· Document and complete paperwork for all customers dropping off and picking up vehicles.
· Book rentals for customers.
· Schedule customers for repairs and prepare customers file folders.
· Notify customers when vehicle is ready for pickup.
· Schedule customers in for estimates as required.
· Contact the customer when the assignment is received.
· Arrange final tow to shop when required.
· Maintain a clean, organized, and safe work environment in line with industry standards.
Requirements:
· Very good understanding of basic accounting principles.
· Proficient data entry skills along with a knack for numbers.
· Critical thinker and problem solving skills.
· Good time management skills.
· Ability to work effectively in a team environment.
· Strong attention to detail and a commitment to delivering high-quality customer service.
· Great interpersonal and communication skills.
