We’re a fast-growing Los Angeles-based electrical contractor focused on large-scale commercial work—retail, hospitality, multifamily, and TI projects throughout Southern California. Our back-office runs at the same high standard as our field crews, and we’re looking for a sharp Office Assistant who already understands the pace and paperwork of commercial construction.
What you’ll handle
Track, log, and route RFIs, submittals, change orders, drawing revisions, permits, and inspection paperwork.
Enter AP/AR, job costs, purchase orders, and timecards in QuickBooks; reconcile with project budgets and WIP reports.
Upload contracts, COIs, safety docs, and daily logs in Procore; keep directories, distribution lists, and drawing sets current.
Coordinate with the field for material releases, delivery tickets, and equipment rentals; verify pack-slips match POs.
Schedule meetings, draft transmittals, maintain subcontractor/vendor files, and monitor lien releases and waivers.
Run weekly “action item” and aging reports so PMs know exactly what’s outstanding.
Must-have background
2+ years in a commercial GC or trade-contractor office (you know AIA pay apps, unconditional releases, and what “retainage” means).
Proficient in QuickBooks Desktop or Online for construction cost coding and job costing.
Day-to-day user of Procore (or equal) for document control and budget tracking.
Solid command of MS Office / Google Workspace; able to draft professional emails without supervision.
Comfortable reading plans/specs and matching them to cost codes or bid scopes.
Strong organizational instincts—able to own deadlines, chase answers, and keep files audit-ready.
Bonus points
Experience with certified payroll, prevailing wage, or union reporting.
Familiarity with Bluebeam, PlanGrid, or PowerBI dashboards.
Spanish fluency.
Work setup & compensation
Full-time, on-site in Woodland Hills, CA (Mon–Fri, 8 am–5 pm).
Pay range: $26 – $40/hour, DOE.
