Job Overview:
El Camino Group is seeking a highly skilled and organized Executive Assistant (EA) to provide critical support to our CEO in both administrative and operational tasks. The EA will work 28-35 hours/week from a home office based in Beverly Hills (90212)/west Los Angeles. The work schedule varies 3-4 days per week Monday – Thursday between the hours of 8am - 6pm, as well as remotely (Friday) depending on project needs. The candidate will play a pivotal role in managing the CEO’s schedule, communications, and operational tasks. In addition, they will work directly with clients and company faculty of contractors – coordinating projects, managing events, and facilitating effective and efficient solutions. Candidates must have access to a car or rideshare for work-related errands, meetings, and occasional personal errands or returns, as needed.

Key Responsibilities:
Executive Support:
Manage the CEO’s complex calendar and appointments, ensuring seamless scheduling and prioritization. Proficient experience with Microsoft Outlook required.
Handle high-volume email correspondence, flag urgent matters, and draft responses on behalf of the CEO.
Coordinate travel arrangements, including lodging, transportation, and itineraries for business trips or client meetings.
Maintain the CEO’s professional certifications and records and handle any recertification processes.
Manage personal tasks and errands when necessary.
On-site client, program, event support when needed (within 40 miles of office)
Administrative/Operations:
Oversee day-to-day administrative tasks including organizing meetings, maintaining files, tracking financials, and supporting compliance. Proficiency in Microsoft Excel is required.
Assist with the preparation of presentations, reports, and other materials for client meetings. Proficiency in Microsoft PowerPoint required.
Serve as a liaison between the CEO and external clients or contractors, ensuring clear and timely communication
Proposal Development:
Collaborate with the CEO on drafting, editing, and finalizing client proposals.
Conduct research to support the development of proposals and other client-facing documents.
Accounts Payable/Receivable:
Track invoices, manage accounts payable/receivable, and collaborate with the CFO on financial matters.
Maintain accurate financial records and ensure timely client invoicing.
Key Qualifications:
Education:
Bachelor’s degree in business, communications, or a related field preferred.
Experience:
5 years of experience in a senior administrative or executive assistant role supporting C-suite executives.
Experience in client-facing roles within consulting or business development is a plus.
Experience working in a C-suite executives home-office completing professional and personal tasks.
Skills:
Strong verbal and written communication skills, with exceptional attention to detail.
Proficiency in Microsoft Office, Google Workspace, and project management tools.
Experience in financial tracking and reporting, including invoicing and managing payments.
Ability to prioritize and handle multiple tasks efficiently, with a proactive problem-solving approach.
Knowledge of virtual collaboration tools like Zoom, Microsoft Teams, and scheduling platforms.
Experience in event planning and travel coordination.
Familiarity with AI technologies, such as ChatGPT, for streamlining tasks.

Compensation:
$24 - $26/hour based on experience
Performance review after 90 days
Benefits eligibility after six months and upon approval: Holiday pay, PTO, Sick leave
