Executive Assistant/Personal Assistant for an Estate Management and Concierge business.
We are looking for a full-time LA-based Executive/Personal Assistant to assist Co-CEOs with their business. This role involves a unique blend of personal and professional responsibilities, offering an immersive experience in day-to-day business operations. You must be personable, articulate and proactive, with exceptional problem-solving and administrative skills.
- General Assistant Duties: Including but not limited to shopping & deliveries, travel arrangements, grocery & inventory management, gifting, running errands and supporting all personal & business functions.
- Administrative Tasks: Maintain personal and professional calendars, manage electronic files on DropBox, scheduling meetings, appointments and travel (may include domestic and international) arrangements.
-Property Management: Responsible for managing homes and service providers that carry out duties at the properties and ensuring efficient operations.
-Vendor Liaison: Responsible for coordinating communication with vendors and ensuring that their duties are executed to high quality standards.
-Brand Management: Assisting in the management of social media platforms, coordination with PR agency, or content creation.
-Event Planning & Holiday Decor: Occasional planning and managing client events and holiday design installations
-Bookkeeping & Budgeting: Responsible for tracking all house expenses and budgeting for each quarter
3+ years of personal assistant experience
Extremely organized, proactive, and self-sufficient
High emotional intelligence
Ability to manage interactions with different people from multiple cultural backgrounds with ease
Great communication and people skills
Flexible, adaptable, efficient and able to anticipate the needs of the executive's and their clients
Ability to work with a fast paced executive and not easily overwhelmed
Available to travel on trips when required
Maintain utmost confidentiality and sensitive information
Exercises discretion in committing time and anticipating needs
