About Us - We are seeking an exceptionally organized, detail-oriented, and process-driven Administrative & Bookkeeping Specialist to help keep our financial records, inventory, and shipping documentation in perfect order. Role Overview - This role requires a strong attention to detail, an OCD-level commitment to organization, and the ability to keep accounting records, inventory, and international shipping documentation in meticulous order. The ideal candidate thrives in structured environments and enjoys maintaining clear, well-documented processes to support smooth business operations.

Key Responsibilities

Inventory & Financial Organization - Maintain accurate financial records for company, ensuring all transactions are properly recorded.

Handle accounts payable and receivable, invoicing, and reconciliations.

Prepare and organize expense reports, vendor payments, and receipts.

Work with external accountants to support tax preparation and reporting.

Maintain digital and physical financial records in an ultra-organized manner.

Inventory Management - Track and maintain inventory levels for materials, components, and office supplies.

Conduct regular audits to ensure inventory accuracy.

Develop and maintain organized storage systems for easy access and retrieval.

International Shipping & Documentation - Ensure all shipping paperwork, customs forms, and invoices are completed accurately.

Work with shipping carriers to track, coordinate, and troubleshoot international shipments. Maintain a detailed, well-organized record of all shipping transactions for compliance.

Administrative Support - Keep company paperwork, records, and documentation exceptionally well-organized and up to date.

Implement and maintain systems to ensure nothing gets lost, overlooked, or misplaced.

Qualifications

Experience: Minimum 3 years in administrative and or inventory control.

Skills:

Strong experience with QuickBooks, Excel, and Google Suites.

Familiarity with international shipping processes and documentation.

Experience with inventory management and auditing.

Exceptional organizational skills and an eye for detail.

Problem-Solving: Ability to spot inefficiencies and improve processes proactively.

Communication: Strong written and verbal communication skills.

Education: Bachelor's degree (preferred) or equivalent experience in finance, business administration, or a related field.
