Job Summary
The Administrative Assistant will provide high-quality administrative and clerical support to ensure efficient operation of the office. This person will support managers, staff, and executives by handling a variety of tasks, including scheduling, correspondence, recordkeeping, event coordination, and general office functions. The ideal candidate is organized, proactive, and able to exercise discretion and confidentiality.
Key Responsibilities
Serve as the first point of contact — greeting visitors, answering and routing phone calls, responding to emails, and managing inquiries
Manage scheduling and calendars for staff and leadership: set up meetings, coordinate attendees, book meeting rooms, send invites, manage follow-ups
Prepare, proofread, and format documents, reports, presentations, memos, proposals, and correspondence
Maintain physical and electronic filing systems; ensure records are up-to-date, accessible, and properly archived
Manage office supplies and inventory; place orders, track deliveries, and monitor usage
Process expense reports, reimbursements, invoices, and purchase orders as needed
Assist in coordinating events, workshops, trainings, and meetings (logistics, catering, materials, venue, invites)
Support travel arrangements: airfare, lodging, ground transport, itineraries, travel approvals
Provide general support to staff as needed (copying, scanning, binding, mail distribution, data entry)
Liaise with vendors, service providers, building management, and external partners
Assist with internal communications: newsletters, staff announcements, meeting minutes, shared calendars
Help enforce office policies and procedures; propose improvements to workflows, systems, and administrative processes
Fill in for other administrative roles when needed; provide backup support
Qualifications & Skills
Diploma, associate’s, or bachelor’s degree (in business administration, office management, or related field) preferred
Proven administrative or office support experience (2–5 years or more, depending on seniority)
Excellent organizational, multitasking, and time management skills
Strong written and verbal communication abilities
High level of attention to detail and accuracy
Discretion and ability to handle confidential information with integrity
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and other common office tools (e.g. Google Workspace)
Familiarity with database systems, CRM, or record management systems a plus
Ability to prioritize tasks and adapt to changing demands
Strong interpersonal skills; ability to interact professionally with staff, clients, vendors, and stakeholders
Self-motivated, proactive, reliable, and able to work independently
Working Conditions
Primarily office environment
May require occasional work beyond normal hours for events, deadlines, or special tasks
Some lifting or moving of office equipment or materials (within reasonable capacity)
Possible hybrid/remote flexibility depending on organization policy (if technology and security permit)
