Job Title: Office Clerk

Location: BEL AIR GUEST HOME, LOS ANGELES, CA 90046

Job Type: Full-Time

Reports To: Facility Manager or Director

Job Overview:

The Office Clerk is responsible for managing the administrative functions of the assisted living facility, ensuring smooth daily operations, compliance with state and local regulations, and effective communication with residents, families, and government agencies. The role involves overseeing office procedures, handling medication and administrative tasks, and supporting the facility's staff in delivering high-quality care to residents.

Key Responsibilities:

Clerk Support:

Provide support to the Facility Manager and other staff members.

Manage office supplies inventory, place orders, and handle procurement processes.

Coordinate and schedule meetings, appointments, and facility tours.

Maintain and organize physical and electronic files, ensuring confidentiality and compliance with data protection regulations.

Prepare and submit reports for state and local government agencies as required.

Compliance and Regulatory Affairs:

Ensure compliance with state and local regulations governing assisted living facilities.

Prepare and maintain documentation required for licensing and accreditation.

Assist with regulatory inspections and audits, providing necessary documentation and information.

Stay informed about changes in regulations and update facility policies and procedures accordingly.

Communication and Coordination:

Act as a point of contact between the facility, residents, families, and government agencies.

Handle correspondence, including phone calls, emails, and mail.

Coordinate with healthcare providers, social services, and other external partners.

Prepare and distribute internal communications and notices to staff and residents.

Resident and Family Relations:

Assist with resident admissions and discharges, including paperwork and orientation.

Address resident and family inquiries, concerns, and complaints in a professional manner.

Support resident care plans and ensure documentation is accurate and up-to-date.

Office Operations:

Oversee day-to-day office operations, including maintaining office equipment and managing facility access.

Implement and enforce office policies and procedures to ensure efficiency and compliance.

Organize and manage office events, training sessions, and staff meetings.

Qualifications:

Education: High school diploma or equivalent required.

Experience: No Experience Required

Skills:

Strong Computer Skills

Strong organizational and multitasking skills.

Excellent communication and interpersonal abilities.

Proficiency in office software (e.g., Microsoft Office Suite, spreadsheets, and database management).

Physical Requirements:

Ability to sit or stand for extended periods.

Occasional lifting of office supplies or equipment up to 25 lbs.

Work Environment:

Office environment within an assisted living facility.

Interaction with residents, staff, families, and government officials.
